This role plays a vital part in supporting one of the Firm’s founders, helping ensure seamless day-to-day operations while advancing justice in all its dimensions. We are seeking candidates with experience supporting senior leaders, managing complex calendars and communications, handling confidential information with discretion, and coordinating across multiple priorities. Strong proficiency in Microsoft Office, including Outlook, Teams, Word, PowerPoint, and Excel and the ability to work effectively in a deadline driven environment are essential. The Executive Assistant provides high-level administrative, operational, and strategic support to the Founding Partner in a mid-size plaintiff trial firm. This role requires exceptional professionalism, sound judgment, discretion, and the ability to manage complex priorities in a fast-paced, client-driven plaintiff practice. The Executive Assistant ensures efficiency, organization, and seamless day-to-day operations.

  • Five plus years of experience as an Executive Assistant or Legal Assistant supporting senior leaders, preferably in a law firm or professional environment.

Nice To Haves

  • Associate’s degree or higher beneficial but not required.
  • Experience in a litigation or trial-focused law firm, preferably plaintiff side or contingency based.
  • Experience supporting an equity partner, senior partner, or executive with complex scheduling and support needs desired.
  • Experience with legal billing systems and document/case management systems (e.g., Salesforce, Litify, Needles).
  • Familiarity with law firm structures, terminology, and client service expectations.

Responsibilities

  • Manage the founding partner’s calendar, scheduling of internal meetings, client calls, court-related deadlines, and travel.
  • Proactively prioritize and coordinate competing requests, ensuring efficient use of the partner’s time.
  • Prepare, edit, and proofread correspondence, legal documents, presentations, and reports with a high level of accuracy.
  • Handle confidential and sensitive information with discretion and sound judgment.
  • Serve as a professional liaison between the founding partner and clients, attorneys, court personnel, and firm leadership.
  • Assist with client intake coordination, engagement letters, and file management.
  • Track key deadlines, filings, and follow-up items related to client matters.
  • Coordinate with paralegals, associates, and other administrative staff to support matter workflow.
  • Assist with preparation for client meetings, hearings, mediations, and trial-related logistics.
  • Support business development activities, including tracking contacts, preparing pitch materials, and coordinating events.
  • Assist with billing and time entry, expense allocation, and invoice review.
  • Answer, screen, and route calls in a professional and client-focused manner.
  • Manage email correspondence and flag priority communications.
  • Assist with the preparation of travel itineraries for domestic and international travel.
  • Act as a central point of coordination for internal and external stakeholders.
  • Performs other duties as assigned.
