About The Position

Florida First Capital Finance Corporation (FFCFC) is seeking a methodical, organized, and curious Executive Assistant to join their team in Tallahassee, FL. This position reports to the Corporate Administration team and will handle a variety of tasks focused on scheduling, facilities maintenance, and administrative needs. The ideal candidate is a team player who enjoys collaborating, embraces varied tasks, double-checks their work, is naturally helpful, understands the value of strong support staff, and seeks a stable career with a growing organization that has a higher purpose than profit. Previous administrative experience in diverse organizational and personnel environments is preferred. Candidates must currently live in or be willing to relocate to Tallahassee, FL.

Requirements

  • High school diploma or equivalent
  • Five (5)+ years of experience in an administrative or clerical position demonstrating increased responsibilities
  • Ability to pass a criminal background check
  • Available to work in-office Monday - Friday, approximately 8:00am - 5:00pm
  • Possesses a keen attention to detail
  • Is a team player who enjoys collaborating and working with others
  • Can multitask and prioritize projects based on changing needs
  • Possesses strong organizational skills
  • Has extensive Microsoft Word and Outlook experience
  • Is proficient with professional email communication
  • Can pass a rigorous criminal background check

Nice To Haves

  • College degree preferred
  • Preference for candidate who can read/write Italian, or at least be proficient with using online translators

Responsibilities

  • Coordinate scheduling and travel for the CEO and EVP
  • Assist CEO with student outreach and administration related to teaching FSU course for LLM students
  • Assist CEO/EVP with legislative matters/tracking
  • Manage periodic Board/Loan Committee appreciation matters
  • Assist with scheduling in-person meetings for staff and Board
  • Handle all weekly, monthly, quarterly & annual property maintenance (all offices)
  • Coordinate and oversee all communications regarding facility renovations
  • Compile monthly loan reports
  • Order company and staff promotional items as needed
  • Coordinate company-wide conference/meeting registrations and travel arrangements
  • General Admin duties (answering phones, sending daily company absence report email, business card ordering, archiving items, running errands, etc.)
