About The Position

Norm Ai is seeking an Executive Assistant to provide operational support to up to four Partners at Norm Law. This role is crucial for enabling the Partners to perform at their highest level and will have a daily impact on the team's effectiveness. The ideal candidate will possess exceptional organizational skills, sound judgment, and a proactive approach.

Requirements

  • Bachelor’s degree
  • 5+ years of experience as an EA or similar role supporting executives in a fast-paced environment
  • Excellent organizational and time management skills, with a resourceful mindset
  • Strong written and verbal communication skills
  • Proficiency in Google Workspace and ability to quickly learn new tools
  • High attention to detail and accuracy
  • Ability to handle sensitive and confidential information with discretion
  • Proactive in identifying and improving inefficient processes
  • Comfortable navigating changing priorities and ambiguity
  • AI Fluency: actively use AI in day-to-day work to support thinking, creation, and problem-solving, improving quality and speed of work.

Responsibilities

  • Manage and optimize complex calendars for busy executives, resolving scheduling conflicts and prioritizing commitments.
  • Serve as a liaison between executives and internal/external stakeholders, ensuring timely follow-up on requests.
  • Manage, prioritize, and triage incoming messages and correspondence.
  • Draft and edit communications on behalf of executives.
  • Develop a strong understanding of Norm Ai’s business priorities.
  • Organize and coordinate meetings, including preparing agendas and materials, and capturing and distributing meeting minutes.
  • Support planning and execution of events such as conferences and team offsites.
  • Arrange travel for executives, including flights, accommodations, dining, and transportation.
  • Prepare and manage travel itineraries and related documentation.
  • Support office operations such as ordering supplies, coordinating vendors, and keeping common areas organized.
  • Perform ad-hoc administrative tasks to support executive effectiveness.
