About The Position

We are looking for an exceptional Executive Assistant to join our C-Suite Executive Support team. This is not a traditional administrative position; we are seeking someone who takes pride in making things run better behind the scenes. The ideal candidate is highly service-oriented, hardworking, resourceful, exceptionally organized, and naturally anticipates needs. This role requires judgment, discretion, flexibility, and a high level of personal ownership. Initially, you will support members of our C-Suite and executive leadership, with opportunities to take on more complex responsibilities as you learn the organization and build trust. This position offers the potential to grow beyond a traditional Executive Assistant role.

Requirements

  • 5+ years of experience supporting senior executives, C-Suite leaders, founders, entrepreneurs, or similarly demanding principals preferred.
  • Demonstrated experience managing complex calendars, executive travel, meetings, events, and competing priorities.
  • Excellent written and verbal communication skills.
  • Exceptional organizational and project management capabilities.
  • Strong proficiency with modern productivity, communication, and project management technology.
  • Ability to work independently while collaborating closely with a team.
  • Ability and willingness to travel as needed.
  • Flexibility outside standard business hours when circumstances require executive support.

Nice To Haves

  • Experience in a high-growth, entrepreneurial, real estate, technology, financial services, or similarly fast-paced organization is a plus.

Responsibilities

  • Manage complex and evolving executive calendars, priorities, meetings, and commitments.
  • Proactively identify and resolve scheduling conflicts, competing priorities, and potential issues.
  • Prepare executives for meetings by ensuring they have necessary information, materials, context, and logistics.
  • Coordinate internal and external meetings involving senior executives and key stakeholders.
  • Manage executive travel from beginning to end, including itineraries, transportation, accommodations, and schedule changes.
  • Draft, organize, review, and coordinate executive correspondence, presentations, reports, and communications.
  • Handle highly confidential and sensitive information with exceptional judgment and discretion.
  • Track commitments, decisions, requests, and action items to ensure completion.
  • Follow up with executives and team members to ensure tasks are completed.
  • Turn conversations and requests into clear next steps and ensure their completion.
  • Take ownership of projects and requests from start to finish.
  • Identify and resolve incomplete, incorrect, or delayed items.
  • Maintain accuracy in a fast-moving environment.
  • Collaborate with other Executive Assistants, sharing information, responsibilities, and coverage.
  • Coordinate across departments and with senior leaders to advance priorities.
  • Serve as a trusted liaison between executives and stakeholders.
  • Understand broader executive team priorities to make informed decisions.
  • Help create systems, processes, and organizational tools to improve the Executive Support function.
  • Coordinate leadership meetings, retreats, conferences, dinners, and special events.
  • Anticipate executive needs before, during, and after meetings and events.
  • Manage changing schedules and last-minute requests calmly and effectively.
  • Be willing and available to travel when executive support requires it.
