About The Position

The Executive Assistant provides high-level administrative and strategic support to two Chief Executive-level leaders within a fast-paced oil and gas operating environment. This role is critical in ensuring seamless day-to-day operations, enabling executives to focus on business priorities, decision-making, and organizational leadership. The Executive Assistant serves as a trusted partner, handling sensitive and confidential information with the highest level of professionalism, discretion, and judgment. This position requires exceptional organizational capability, proactive problem-solving, and the ability to manage competing priorities in a dynamic, high-demand setting.

Requirements

  • Bachelor’s degree preferred or equivalent experience
  • Minimum of 5–10 years of experience supporting senior executives, preferably within oil & gas, energy, or a similarly complex operational environment
  • Proven experience supporting C-level executives in a fast-paced, high-demand environment
  • Exceptional organizational and time management skills with strong attention to detail
  • Advanced communication skills, both written and verbal, with the ability to interact at all levels of the organization
  • Demonstrated ability to manage complex calendars, travel logistics, and shifting priorities
  • Proven ability to attend meetings, synthesize discussions, and produce clear, concise, and actionable meeting minutes
  • High level of professionalism, integrity, and discretion in handling confidential information
  • Strong problem-solving skills with a proactive, solutions-oriented mindset
  • Ability to prioritize effectively and maintain composure under pressure
  • Must demonstrate a top-tier level of professionalism, executive presence, and attention to detail at all times
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools

Responsibilities

  • Provide comprehensive administrative support to two senior executives, ensuring efficient daily operations and alignment with business priorities
  • Manage complex and frequently changing calendars, including scheduling internal and external meetings across multiple time zones
  • Coordinate all travel arrangements (air, hotel, ground transportation), including detailed itineraries and contingency planning
  • Attend meetings as requested, capture accurate and detailed meeting minutes, and track follow-up action items to completion
  • Prepare, review, and organize materials for meetings, presentations, and executive briefings
  • Act as a gatekeeper and liaison, managing communications with internal stakeholders, board members, and external partners
  • Handle confidential information with a high degree of discretion and professionalism
  • Anticipate executive needs and proactively resolve scheduling or operational conflicts
  • Coordinate special projects, events, and executive initiatives as assigned
  • Maintain organized records, files, and documentation to support business operations
  • Partner cross-functionally with Accounting, HR, Legal, Finance, Operations and other department teams as needed
