This Executive Assistant will work as part of our c-suite administrative team and will directly support our Chief Information Officer. This high-visibility, fast-paced role requires sound judgment, discretion, and communication skills. We are seeking a proactive professional with demonstrated experience working with a leadership team and who has the ability to interact with internal and external clients and colleagues at all levels. This is an on-site position, Monday through Friday, and will ensure continuity, efficiency, and high-level support.

Requirements

  • Bachelor's degree or equivalent experience
  • 4+ years of experience supporting senior-level executives in a fast-paced, corporate environment
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, SharePoint, Zoom)
  • Demonstrated experience in leveraging AI productivity tools (e.g., ChatGPT, Microsoft Copilot, or similar) to enhance efficiency, quality, and speed of work
  • Exceptional organizational skills and attention to detail
  • Proven ability to manage multiple priorities while maintaining flexibility and responsiveness
  • Excellent verbal and written communication skills
  • Demonstrated professionalism, discretion, and judgment
  • Experience supporting more than one executive simultaneously

Responsibilities

  • Proactively manage complex, high-volume calendars for two senior executives
  • Schedule meetings, anticipate conflicts, and ensure alignment with business priorities
  • Organize, prepare, and distribute agendas and materials for meetings
  • Attend meetings as needed to take notes, track follow-ups, and ensure timely completion of action items
  • Serve as a key point of contact for internal teams and external partners visiting the Minnetonka office
  • Ensure the executives’ workspaces and meeting logistics run smoothly
  • Interface effectively with other executive assistants and department leaders across the company to align calendars, coordinate joint efforts, and support enterprise initiatives
  • Assist with project coordination and tracking for strategic initiatives led by the executives, as needed
  • Draft, review, and manage professional communications on behalf of senior executives, including emails, memos, and presentations
  • Handle sensitive information and matters with a high degree of confidentiality and professionalism
  • Coordinate domestic travel arrangements, itineraries, and accommodations
  • Process related expenses in a timely and accurate manner
