About The Position

We are seeking a highly organized, detail-oriented Executive Assistant to support our Farmers Insurance District Office. This role is critical to keeping our operations running efficiently by managing trackers, monitoring key initiatives, and ensuring time-sensitive tasks are executed with precision. This is not just a traditional admin role—this person will act as the operational backbone of the district, helping drive accountability, visibility, and execution across multiple moving parts including agency acquisitions, new agent launches, and ongoing district initiatives. This position plays a direct role in the growth and success of our district. From helping launch new agency owners to tracking key initiatives, your work will have a visible impact on performance and expansion.

Requirements

  • 2+ years in an administrative, executive assistant, or operations role
  • Strong organizational and time-management skills
  • High attention to detail and accuracy
  • Proficiency in Microsoft Office (Excel, Outlook, Teams)
  • Ability to manage multiple priorities in a fast-paced environment

Nice To Haves

  • Experience with project management tools (ClickUp, Asana, etc.)
  • Background in insurance, sales operations, or recruiting support
  • Experience managing trackers, dashboards, or reporting systems

Responsibilities

  • Maintain and update internal trackers for: Agency acquisitions, New agent (Protégé & retail) launches, Recruiting pipelines and candidate statuses, District performance metrics
  • Ensure all trackers are accurate, updated daily, and easily accessible
  • Track progress of acquisitions and agent launches against deadlines
  • Proactively follow up with stakeholders to ensure tasks are completed on time
  • Identify delays or bottlenecks and escalate as needed
  • Manage calendars, meetings, and internal communications
  • Prepare reports, summaries, and status updates for leadership
  • Organize and maintain digital files and documentation
  • Help standardize workflows and improve tracking systems
  • Assist in building dashboards or reporting structures for leadership visibility
  • Coordinate across teams (recruiting, training, leadership) to ensure alignment
  • Act as a central point of coordination for district initiatives
  • Send reminders, updates, and follow-ups to keep projects moving
  • Ensure nothing “falls through the cracks”
