Requirements

  • Proven experience as an executive assistant supporting senior leadership in an onsite setting.
  • Advanced proficiency with Microsoft 365, including PowerPoint at a design and storytelling level and Excel for tracking and analysis.
  • Hands-on experience using AI assistants in daily work, with the judgment to verify output and recognize when AI is not appropriate.
  • Experience coordinating projects or programs and holding cross-functional owners to deadlines without formal authority.
  • Exceptional written communication, editing, and proofreading skills, with high standards for accuracy and presentation quality and strong emotional intelligence.
  • Sound judgment, discretion, and a consistent record of handling highly confidential information.
  • Curiosity and a bias toward improving recurring work.

Responsibilities

  • Coordinate calendars, meetings, appointments, and events; protect focus time, resolve scheduling conflicts, and align the executive’s time with strategic priorities.
  • Handle calls, emails, mail, and correspondence on the executive’s behalf; draft, edit, and proofread documents, emails, and presentations, and respond to inquiries accurately and promptly.
  • Serve as a discreet liaison between the executive and internal and external stakeholders, including executive peers, client partners, and team members.
  • Maintain digital and physical files with efficient retrieval, version control, and confidentiality.
  • Use Microsoft 365 tools and shared workspaces, manage permissions and document collaboration, and serve as a practical resource to the team.
  • Use AI assistants to summarize meetings and documents, draft correspondence, conduct first-pass company and market research, and prepare briefing materials; validate outputs and use sound judgment about appropriate AI use.
  • Build and maintain lightweight automations and workflows, including reports, meeting preparation packets, distribution lists, task reminders, and templates.
  • Create and maintain trackers and dashboards, perform basic data analysis, check figures, and produce clear summaries and visuals.
  • Adopt new tools quickly, follow company data-handling and information-security policies, and share productivity practices with the leadership team.
  • Build, restructure, and polish executive-level presentations for board, executive committee, customer, supplier, and town hall audiences, including improving narrative flow and messaging.
  • Apply corporate brand and template standards to presentations and documents.
  • Create charts, tables, timelines, and simple diagrams from source data and improve supplied visuals while preserving data accuracy.
  • Consolidate contributions into coherent documents and presentations, follow up on missing materials, and manage version control through delivery.
  • Coordinate strategic projects and initiatives by maintaining plans and milestone trackers, monitoring deliverables and due dates, following up with owners, and escalating slippage.
  • Run the function’s operating rhythm, including staff meetings, quarterly business reviews, planning cycles, and leadership offsites; prepare agendas, pre-reads, minutes, decisions, and action tracking.
  • Conduct research, gather and organize data, and prepare reports and presentations to support decisions on active initiatives.
  • Coordinate with the executive’s direct reports and their assistants to align schedules, deadlines, and cross-functional deliverables.
  • Arrange travel, including flights, accommodations, transportation, and itineraries; manage expense reports and reimbursements, receipts, currency conversion, and expense tracking.
