About The Position

Turner & Townsend is hiring an ambitious and forward-thinking Executive Assistant to work in their growing support services team. This role supports the Director and head of the Boston office. Responsibilities include heavy calendar management, meeting planning, and travel coordination.

  • Minimum 5 – 8 years of experience supporting senior executives.
  • A proven track record of working in a dynamic and demanding environment is necessary.
  • Strong aptitude for Microsoft Office Suite (Outlook, Word, Excel & PowerPoint).

  • Bachelor’s degree preferred.

Responsibilities

  • Proactive calendar management and travel coordination for both domestic and international meetings.
  • Submit expenses on behalf of the Director.
  • Anticipate needs, pre-empt and resolve issues while prioritizing tasks to proactively support the Vice President.
  • Meeting management: plan meetings and all related operational details (conference rooms, catering, collateral, building access, etc.); draft agenda and minutes; greet onsite guests and escort them to appropriate conference room.
  • Support development of presentation content and report development for various meetings and Board meetings.
  • Update and maintain organizational charts for the Boston office.
  • Field and screen incoming phone calls.
  • Attend Board meetings and prepare all corresponding Board books, which includes managing reporting timelines with senior Directors across the business.
  • Ad-hoc projects as needed.
  • SOX control responsibilities may be part of this role, which are to be adhered to where applicable.
  • Perform other duties as assigned that are not outlined in the Job Description.
