F5•Seattle, WA
•$103,500 - $155,300•Onsite

About The Position

F5 is seeking a highly organized, proactive, and tech-savvy Executive Assistant to provide comprehensive support to the SVP of Resiliency Operations. The role acts as a strategic partner, anticipating needs, managing complex schedules, and ensuring smooth daily operations. Because Resiliency Operations supports F5 and its customers during incidents, the executive’s calendar may need to change at short notice; the assistant will help the leader pivot quickly and effectively. The position also supports Office of the Chief Technical Operations Officer (OCTO) customer programs, including executive briefings, customer advisory boards, operational and service reviews, workshops, and industry events. Working with OCTO leaders, Marketing, and field teams, the assistant coordinates customer-facing experiences and related logistics. The role uses modern productivity tools and AI technologies to streamline workflows, optimize travel planning, track projects, and improve executive productivity. It is primarily based in F5’s Seattle office, with occasional travel and flexibility outside standard business hours during major incidents and customer events.

Requirements

  • At least 5 years of experience supporting C-level executives or senior leadership in a fast-paced, dynamic environment.
  • High proficiency with enterprise productivity suites such as Microsoft 365 and Google Workspace.
  • Strong attention to detail and ability to manage multiple priorities and deadlines reliably.
  • Ability to remain composed and organized under pressure and re-plan quickly when priorities change unexpectedly.
  • Experience coordinating events or customer-facing programs, including logistics, vendors, and attendee management.
  • Excellent written and verbal communication skills, professional and approachable demeanor, and judgment to draft communications on an executive’s behalf.
  • Strong critical-thinking skills and ability to anticipate challenges and independently propose solutions.
  • Discretion and sound judgment when handling highly confidential information, including customer and incident data.
  • Professional presence and credibility when interacting with board members, senior leaders, customers, and external partners.
  • Ability to thrive in a fast-paced environment.

Nice To Haves

  • Technology-sector experience.
  • Interest or demonstrated experience using AI productivity tools such as Gemini, Copilot, or specialized automation software.
  • Project-management experience.
  • Familiarity with modern travel management systems and expense reporting software such as Concur.
  • Experience supporting a technology, engineering, cybersecurity, infrastructure, or site reliability organization.
  • Experience supporting an executive through incident, crisis, or on-call operating rhythms.
  • Experience with executive briefing centers, customer advisory boards, or industry conference and event delivery.
  • Experience coordinating board-level or enterprise governance forums and preparing materials for them.
  • A forward-thinking mindset and desire to learn and implement new workplace technologies.

Responsibilities

  • Proactively manage the SVP’s complex calendar, resolve scheduling conflicts, prioritize time against strategic objectives, protect focus time, and coordinate multi-principal meetings and leadership forums.
  • Re-sequence the SVP’s schedule during major incidents and escalations; reschedule commitments, notify stakeholders, coordinate bridge and war-room logistics, schedule post-incident reviews, and track action items to completion.
  • Coordinate resiliency governance forums, business continuity and disaster recovery exercises, audit and regulatory reporting checkpoints, and risk review meetings; collect inputs and prepare materials.
  • Plan and execute OCTO customer programs and events, including executive briefings, customer advisory boards, operational and service reviews, workshops, and industry events; manage invitations, attendees, venues, agendas, run-of-show, presenters, hospitality, materials, and follow-up.
  • Coordinate domestic and international travel, including itineraries, visas, accommodations, trip agendas, briefing packets, and contingency plans; use AI and modern travel platforms to optimize travel and anticipate changes.
  • Document and submit business expenses under company policy; support purchase orders, invoice processing, vendor onboarding, event spend tracking, and software and equipment requests with Procurement and Finance.
  • Organize leadership meetings, off-sites, staff meetings, business and quarterly reviews, all-hands, and planning cycles; prepare agendas and pre-reads, take minutes, and track action items with owners and due dates.
  • Triage inbound requests to the executive’s office, route requests, respond on the SVP’s behalf when appropriate, draft and edit correspondence and internal communications, and manage inbox flow.
  • Prepare, format, and quality-check leadership briefing materials, presentations, decision packages, Board of Directors materials, and customer-ready OCTO materials; consolidate contributor inputs and maintain organized, version-controlled repositories.
  • Track high-priority projects and initiatives, liaise between the executive and departments, and help ensure deadlines and deliverables remain on track.
  • Identify opportunities to use AI tools and software to improve office efficiency, automate routine tasks, standardize and document recurring processes, and retire low-value work.
  • Build and maintain relationships with internal leaders, executive assistants, board members, customers, and external partners; coordinate visitors, agendas, logistics, and hospitality professionally and discreetly.
  • Support leadership-team onboarding and offboarding logistics, including equipment, access, and workspace coordination; coordinate team events and recognition activities and maintain organizational charts, distribution lists, and team rosters.
