About The Position

The Office of External Affairs at Northeastern University is seeking a talented, hard-working, and highly motivated candidate to serve as the Executive Assistant to the Senior Vice President (SVP). This role involves providing administrative support, prioritizing and coordinating competing demands, and assisting in high-priority events and projects. The ideal candidate will have experience in a dynamic, fast-paced, and highly collaborative environment, proactively supporting the SVP's daily administrative responsibilities and working with the Director to ensure smooth daily operations across the division. This exciting role offers a wide range of responsibilities and projects, including managing a busy executive calendar, coordinating travel, tracking expenses, planning division-wide meetings and events, and assisting the Director with key divisional or university initiatives. The individual will handle confidential material with discretion and perform other duties as required to ensure the smooth operation and responsiveness of the division.

Requirements

  • Bachelor's degree required.
  • 3-5 years of experience in an office environment.
  • Mature professional who can manage and facilitate an intense workload and produce quality results in a fast-paced environment.
  • Excellent written and verbal skills.
  • Ability to manage multiple priority projects at once with ease and efficiency.
  • Self-starter who is highly motivated, can think independently and analytically, is organized, and extremely detail oriented.
  • Proactive, able to anticipate problems, and resourceful to find workable solutions.
  • Ability to work well with others at all levels.
  • Proficiency with MS Office products, including Microsoft Word, Excel, PowerPoint, and Outlook.

Nice To Haves

  • Skills in using AI tools to productively and efficiently deliver quality work are a plus.
  • Experience in higher education is not needed, nor is it desired.

Responsibilities

  • Provide high-level administrative support for the Senior Vice President.
  • Maintain a busy executive calendar, organize and prepare for meetings.
  • Coordinate domestic and international travel.
  • Track and prepare Concur reports.
  • Plan, coordinate, and implement logistics for division-wide meetings and events.
  • Assist the Director with projects and deliverables related to key priorities or initiatives for the division or university.
  • Perform other duties as required to ensure the smooth operation and responsiveness of the department.
