Primary Function: As a member of Manufacturing Team, the Executive Admin (EA) supports administrative responsibilities for the Associate Vice President for Americas Manufacturing and the affiliated team. This role will proactively manage calendars and schedules, including coordinating meeting logistics globally, as well as recurring internal staff meetings and other Executive level reviews. The EA maintains awareness of significant deadlines for the team and plans proactively for them. In addition, the EA manages office supplies, handles digital document organization, and supports employee programs such as social events and recognition. As a member of a dynamic manufacturing team, the EA will be exposed to technical and business teams in a wide range of functions supporting a healthy and stable Life Science business.

Requirements

  • 3+ years of relevant experience

  • Excellent interpersonal skills with positive demeanor and can-do attitude
  • Strong verbal and written communication skills
  • Proficient in Office 365 business applications such as Word, Excel, PowerPoint, and SharePoint
  • Knowledgeable in tools such as Teams and Telepresence
  • Experience in SharePoint
  • Proven time management and organization skills
  • Ability to solve problems independently
  • Ability to prioritize and take initiative
  • Attention to detail and follow-through skills

Responsibilities

  • Proactively manage calendars and schedules, including coordinating meeting logistics globally, as well as recurring internal staff meetings and other Executive level reviews.
  • Maintains awareness of significant deadlines and plans proactively for them
  • Maintain supply levels for office materials and reduce risk of downtime
  • Enter and track approvals for travel, hiring, and compensation
  • Manage forms, templates, email distribution lists, org charts, and SharePoint access
  • Implement best practices for optimal data/document availability and process efficiency
  • Support team events with logistics planning and coordination
  • Coordinates all aspects of travel arrangements including booking flights, hotel and local transportation; providing itineraries; and arranging visa/passport requirements as needed.
  • Prepares and reconciles travel expense reports.
  • Manages calendar for internal and external events, assisting with the consolidation and distribution of meeting material, planning and management of webcasts so AVP is prepared for each engagement.
  • As needed, may participate in and/or lead projects within the function
