About The Position

St. John’s School seeks a skilled and highly organized Executive Assistant to the Chief Finance and Operations Officer (“CFOO”) to provide comprehensive support to the CFOO. This role is essential in ensuring the efficient operation of the Business Office, managing daily administrative responsibilities, and supporting strategic initiatives. The ideal candidate will possess exceptional communication skills, a high degree of professionalism, and strong project-management skills in a fast-paced educational environment. In addition to relevant experience, successful candidates must demonstrate a collaborative approach and a commitment to furthering the School's mission, including its strategic initiatives on community and inclusion. The role often involves a high level of discretion and judgment, as well as the ability to anticipate needs and manage competing demands. This is a full-time, year-round (12-month) position and follows a regular schedule throughout the summer months.

Requirements

  • Bachelor’s degree
  • 3+ years’ relevant work experience
  • Effective organizational, time-management and problem-solving skills.
  • Demonstrated analytical skills and financial acumen.
  • Proficient in Microsoft Office, including Word and Excel.
  • Detail-oriented with the ability to work independently and oversee projects through successful completion.

Responsibilities

  • Serve as the primary point of contact between the CFOO and internal/external stakeholders, including faculty and staff, and committee members.
  • Coordinate the planning and executing of committee meetings, special projects, and some events.
  • Organize and coordinate meetings, including preparing agendas and materials, taking minutes, and following up on action items.
  • Prioritize emails and schedule appointments to optimize the CFOO’s agenda.
  • Arrange travel itineraries, accommodation, and detailed agendas.
  • Assist with special projects, research, and improving internal processes.
  • Prepare and submit expense reports and manage budgets.
  • Monitor project deadlines and follow up on action items to keep projects on schedule.
  • Handle all team communications and events.
  • Maintain an organized system for records, reports, and files related to the Business Office.
  • Other duties and responsibilities as assigned.
