Requirements

  • High School Diploma or equivalent
  • A minimum of two years of post-secondary education, B.A. Degree preferred.
  • Minimum two years' experience in related area performing secretarial or general office work in an office with considerable public contact, or an equivalent combination of experience, education and/or training that demonstrates desired knowledge, skills and abilities.
  • Working knowledge of computer word-processing and Microsoft Office applications, and Google.
  • Knowledge, skill and or experience in the implementation of Positive Behavior Intervention Supports (PBIS) strategies or be willing to receive training in those strategies
  • Ability to obtain a valid Arizona IVP Fingerprint Clearance Card
  • Ability to demonstrate leadership and organizational skills.
  • Strong internal and external communication skills, both oral and written.
  • Ability to follow written and/or oral instructions.
  • Ability to demonstrate interpersonal and problem-solving skills.
  • Ability to maintain accurate records and reports.
  • Ability to use computers for email communications, word processing, data management and other assigned tasks as related to the position.
  • Ability to apply common sense understanding to solve practical problems and deal with a variety of situations
  • Ability to interact cooperatively and courteously with staff, students, parents, and community.

Responsibilities

  • Compose and oversee Board agendas and informational paperwork for the purpose of ensuring completeness of materials presented to the Governing Board for regular and special meetings.
  • Attend Board meetings for the purpose of recording the minutes in accordance with district policy, on an as-needed basis.
  • Maintain Board minutes, Board and Superintendent documents to include agendas, meeting notes, executive summaries, reports, files, and records for the purpose of providing up-to-date references and audit trail for compliance.
  • Coordinate various processes and clerical responsibilities associated with the effective performance of the duties of the Superintendent and governing board such as ordering supplies, subscriptions, travel and conference arrangements, and memberships as required by the Superintendent and board.
  • Maintain and update Governing Board policies and Superintendent Regulations.
  • Consult with attorneys regarding the interpretation of these policies and regulations.
  • Promotes effective public relations through telephone and written communications with employees and citizens.
  • Maintain the Superintendent's calendar and electronic mail as well as the schedule of appointments and arrange for conferences and interviews.
  • Place and receive telephone calls and record messages.
  • Welcome visitors and arrange their comfort.
  • Write articles, speeches, notes, letters, and, memos as required by the Superintendent and board.
  • Advise the Superintendent immediately of the existence of any problems deemed to warrant prompt attention, advice, or, intervention.
  • Facilitate procedures regarding District emergencies.
  • Attend school and community meetings, workshops, and conferences as determined by the Superintendent.
  • Keep abreast of outstanding achievements by students and staff requiring recognition by the Superintendent.
  • Maintain effective communications with various city, county, and state offices to facilitate cooperation regarding mutual concerns.
  • Coordinate and prepare for special district functions.
  • Coordinate dates and times of various hearings before the Superintendent and/or Governing Board (staff grievances, student hearings).
  • Research a variety of information (e.g. current practices, operational procedures, policies, education codes, etc.) for the purpose of providing information, recommendations, and/or addressing a variety of administrative requirements.
  • Respond to inquiries of staff, other educational institutions, the public, parents, and/or students for the purpose of providing information and/or direction as may be required.
  • Assist other personnel as may be required for the purpose of supporting them in the completion of their work activities.
  • Perform special assignments and other duties as determined by the Superintendent.
  • Utilize, with fidelity, the District Positive Behavior Intervention Support (PBIS) program at the building level.
  • Understand and maintain students' and parents' rights to confidentiality and not violate those rights; nor discuss students in inappropriate places or with anyone not in direct contact with such individual students.
  • Ensure information obtained through the course of duties associated with this position, is held in the highest of confidentiality.
  • Perform all duties in accordance with Federal and State laws, district procedures, and Board policies; including mandatory reporting procedures.
