About The Position

Drive Management Group (DMG) is a fast-paced, growth-oriented telecommunications project management and consulting firm serving Tier 1 ISP clients across the United States. Operating within the Outside Plant (OSP) space, our team delivers program management, compliance, and field operations support under Bell System standards. We are looking for a highly organized and proactive Executive Assistant to support our Director of Operations. This position is based in Bedford, NH with the possibility of remote work for a qualified candidate. This role is critical to the day-to-day effectiveness of DMG's operations leadership. The ideal candidate brings prior executive support experience, thrives in a high-accountability environment, and is energized by the pace and purpose of a growing telecom organization. In addition to dedicated support of the Director of Operations, this person may be called upon to assist other members of the DMG operations team on an as-needed basis. Requirements

  • 3+ years of experience in an Executive Assistant, Administrative Assistant, or similar senior support role is required
  • Proficiency in Microsoft 365 (Outlook, Teams, Excel, SharePoint) required
  • Strong written and verbal communication skills with a high degree of professionalism
  • Ability to manage competing priorities independently with minimal supervision
  • High degree of discretion, attention to detail, and follow-through

Nice To Haves

  • Experience with JotForm and Penguin Data is preferred
  • Working knowledge of Google Suite (Docs, Sheets, Drive) a plus
  • Familiarity with the telecommunications or OSP industry is a plus

Responsibilities

  • Manage and maintain the Director's Outlook calendar across time zones, including meetings, deadlines, and recurring commitments.
  • Proactively identify and resolve scheduling conflicts with minimal executive involvement.
  • Send advance reminders with relevant prep materials and context.
  • Screen and triage executive email in Outlook, flagging priority items and drafting responses as needed.
  • Compose, proofread, and distribute professional correspondence on behalf of the Director.
  • Serve as a polished point of contact for internal team members and external stakeholders via email and Microsoft Teams.
  • Schedule and coordinate virtual meetings through Microsoft Teams.
  • Prepare agendas, compile pre-read materials, and capture detailed meeting minutes.
  • Distribute action item summaries and follow up on outstanding deliverables post-meeting.
  • Coordinate domestic travel arrangements including flights, hotels, and ground transportation.
  • Build detailed itineraries with relevant contacts, confirmations, and logistics.
  • Submit and reconcile expense reports accurately and on time.
  • Create, format, and maintain reports, presentations, and workbooks using Microsoft Excel and the broader Microsoft 365 suite.
  • Organize and manage digital filing systems in SharePoint and OneDrive.
  • Leverage Google Suite (Docs, Sheets, Drive) for collaborative documents as needed.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Pull, organize, and format data from Penguin Data to support executive reporting needs.
  • Build and maintain tracking logs and summary reports in Excel.
  • Manage and maintain form workflows and submission tracking in JotForm.
  • Summarize findings and prepare data-driven briefings for executive review.
  • Track executive deliverables and proactively flag approaching deadlines.
  • Conduct research and compile findings to support leadership decision-making.
  • Assist other team members with administrative overflow tasks as directed by the Director.
  • Coordinate logistics for virtual team events, training exercises, and off-site meetings.
  • Manage vendor or supplier communications as assigned.
  • Support onboarding coordination and documentation for new remote team members.
  • Maintain up-to-date contact records for key clients, vendors, and partners.
  • Facilitate communication between the Director and internal or external stakeholders.
  • Represent the Director with professionalism and discretion in all interactions.
