About The Position

The Senior Executive Administrator provides high-level administrative and analytical support to the EVP of Operations and, on a shared basis, to the VP of Learning & Development and the Director of Capital & Facilities. This is an elevated executive support role that extends beyond calendar, travel, and coordination responsibilities. The position carries independent reporting responsibility, including building and maintaining recurring Excel reports, preparing executive and ownership materials, and tracking initiatives through completion. The right candidate is as comfortable rebuilding a pivot table as reworking a calendar around last-minute property visits.

Requirements

  • Associate or bachelor's degree preferred, or equivalent experience supporting senior executives
  • Five or more years supporting C-suite or senior executives, with a meaningful reporting or data component
  • Advanced Excel — pivot tables, lookups, conditional logic, and clean workbook construction. This will be tested.
  • Advanced Outlook, Word, and PowerPoint; able to produce polished executive materials
  • Strong written and verbal communication; professional presence with executives, owners, and vendors
  • Proven organization, follow-through and discretion in a fast-moving environment.

Nice To Haves

  • Yardi, Entrata, or comparable property management platform experience
  • Exposure to Power BI, Concur, or comparable reporting and expense platforms
  • Experience supporting multiple executives with competing priorities

Responsibilities

  • Manage complex, frequently changing calendars for the EVP; coordinate scheduling across regional leadership, ownership groups, and vendors
  • Prepare briefing materials and agendas ahead of meetings and leadership sessions and provide detailed notes
  • Coordinate leadership meetings, offsites, and team events end to end logistics, materials, and follow-up
  • Handle confidential information, personnel, financial, and transactional with complete discretion
  • Build, maintain, and distribute recurring operational reporting including revenue, collections, financial variances and capital tracking.
  • Maintain Excel workbooks and dashboards; Own data accuracy and consistent formatting across recurring reports
  • Pull and compile data from Yardi and related platforms
  • Prepare analysis and supporting materials for executive, ownership, and board-level presentations
  • Format and produce executive-ready reporting packets on a predictable schedule
  • Help maintain the master tracker for operational initiatives — owners, milestones, status for Operations Team.
  • Coordinate scheduling and materials for cross-functional workstreams across Operations, Training, Capital, Revenue Management, and Marketing
  • Prepare agendas, capture decisions and action items, and drive them to closure
  • Support other Department leads with completion reporting, program tracking, and materials preparation
  • Serve as a consistent point of contact for regional and site leadership on reporting requests and data questions
