About The Position

The Executive Administrative Coordinator serves as a key operational support to Spectrum’s Executive Leadership Team, Director of Human Resources, Board of Directors, and various committees. This is an executive level administrative role requiring a high degree of professionalism, discretion, and organizational skill. The ideal candidate is proactive and detail-oriented, able to manage competing priorities with ease, and trusted to handle sensitive information with confidentiality. You will be a central point of coordination across the organization, keeping leadership running smoothly, governance on track, and day-to-day operations well supported. This is a full time exempt position with an annual salary range of $55,000 - $65,000 and is eligible for a robust benefits package; including health, HRA, dental, vision, life insurance, STD, LTD, accrued vacation, accrued health leave, and a 403(b) retirement plan. Requirements

  • Minimum of 3–5 years of experience in a busy office environment
  • Strong written, verbal, and listening communication skills
  • Excellent organizational and time management skills, including the ability to adapt to shifting priorities and meet deadlines
  • Ability to analyze situations and determine appropriate courses of action
  • Ability to maintain appropriate professional boundaries with clients and staff

Nice To Haves

  • Experience working with SharePoint preferred; ability to learn new software required

Responsibilities

  • Provide administrative support to the Executive Leadership Team and Director of Human Resources
  • Coordinate Executive Leadership Team meetings, agendas, and scheduling
  • Support special projects as assigned by the Executive Director
  • Schedule and support Board of Directors meetings
  • Prepare and distribute board packages
  • Record and distribute committee minutes; coordinate committee logistics
  • Assist with the hiring process, including: Screening and scheduling interviews, Conducting reference checks, Coordinating systems training for new hires
  • Schedule and track staff trainings
  • Open mail and accurately log cash receipts
  • Provide data entry and administrative support to the Development Team
  • Schedule donor meetings
  • Monitor and manage the general Spectrum mailbox and voicemail
  • Coordinate volunteer requests and in-kind donations
