Requirements

  • High school diploma required
  • At least four years of related experience as an executive assistant required
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to function well in a high-paced and at times stressful environment
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
  • Able to maintain sensitive and confidential information
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software

Nice To Haves

  • Associates Degree in business or higher preferred

Responsibilities

  • Provides high-level administrative support and assistance for the Senior Executive team to include the President and CEO, CFO, and General Counsel
  • Drafts letters, emails, invoice vouchers, reports, and other documents for executive staff
  • Arranges travel and accommodations for executives along with processing expense reports
  • Schedules and attends meetings on behalf of executives.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping
  • Performs additional duties as assigned by executives
  • Provides multi-faceted administrative support and assistance to ensure effective use of an executive's time and productive interactions with staff and the public
  • Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people
  • Manages the executive's schedule, meeting preparations, follow-up tasks, and complex travel arrangements
  • Conducts research and information gathering on behalf of the executive and prepares summaries and reports
  • Develops positive and strategic relationships at all levels of the organization
  • Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities and maintain confidentiality
  • Performs other related duties as assigned
