We are seeking a driven individual who is eager to learn, contribute, and grow within a fast-paced hospitality-focused property organization. Overview: The Events & Catering Assistant supports the planning and execution of member events, private functions, and catering services at Colonial Country Club. This position helps coordinate event details, prepare paperwork, communicate with members and vendors, and work with the culinary and service teams to ensure each event runs smoothly. The ideal candidate is organized, attentive to detail, and comfortable balancing office work with hands-on support during events.

Responsibilities

• Maintain a professional appearance at all times.
• Provide prompt and efficient customer service.
• Adhere to safety and alcoholic beverage control policies.
• Keep tables, event rooms and supply station(s) clean and organized.
• Listen and respond to guest needs.
• Coordinate traffic flow and parking regulations as marked.
• Provide tours, brochures and information to all potential clients.
• Assist with ordering supplies and maintaining inventory control levels.
• Perform clean-up and closing procedures as assigned by manager.
• Set-up and breakdown of tables, chairs, event areas, and related activities in an accurate and timely manner.
• Carry out cleaning tasks prior & post event of rooms and common areas to include kitchens, hallways and bathrooms.
• Ensure satisfaction by communicating with the client throughout the event regarding any changes, substitutions or special requests and following up with the host at the end of event.
• Perform other duties as assigned.
• Contacts customers face-to-face, by telephone and/or email, to confirm, coordinate, and update details for scheduled catering activities.
• Details each group’s catering needs which may include but is not limited to menu planning, mealtime, and room set up.
• Conducts facility tours and sight visits for groups assigned.
• Tracks all guarantees and deadlines based on contract.
• Coordinates with Conventions and Catering department as well as Food and Beverage department to ensure specified arrangements are carried out as planned.
• Attends trade shows, wedding shows, and other events as assigned.
• Completes projects as directed in relation to the area of responsibility.
• Assists the department manager in interviewing, training, planning, assigning, and directing work.
• Make recommendations when hiring, evaluating performance, rewarding, and disciplining associates.
• Addresses complaints and resolves problems.
• Assists in the coordination of department members that may include, but is not limited to: Banquet Captain, Servers, Hosts, Set Up Staff.
• Assists in monitoring business volume forecast and plans accordingly in areas of manpower, productivity, costs and other expenses.
• Responsible for implementing and maintaining excellent service to achieve guest satisfaction.
• Assists manager in communicating any changes or new policies and procedures to the department.
• Conducts facility tours and sight visits for groups.
• Performs other duties as required.
