Requirements

  • Excellent organizational and multitasking skills.

  • Professional phone etiquette.
  • Experience with Microsoft Office (Word, Excel, Outlook). Google Sheets, Sage Intact
  • Ability to learn scheduling and payroll software (UKG experience is a plus).
  • Strong attention to detail.
  • Ability to work in a fast-paced environment.

Nice To Haves

  • Customer service experience preferred.
  • Administrative or office management experience.
  • Hospitality, valet, parking, transportation, or event industry experience preferred.
  • Experience coordinating large teams is a plus.

Responsibilities

  • Answer incoming calls, emails, and customer inquiries professionally.
  • Prepare proposals, contracts, and event confirmations.
  • Maintain employee personnel files and onboarding documents, including I-9s compliance.
  • Assist with hiring, interviews, and orientation of new employees.
  • Verify employee certifications, driver’s licenses, and required documents.
  • Track event details and staffing requirements.
  • Prepare invoices and assist with accounts receivable follow-up.
  • Maintain client contact information and event records.
  • Assist management with reports, Budgets and Forecasts, spreadsheets, and data entry.
  • Maintain confidentiality of company and employee information.
  • Support management with special projects and operational needs.
  • Develop and train supervisors and line-level employees.
  • Review and approve work schedules to ensure adequate coverage while minimizing expenses.
  • Develop and maintain strong client relations and attend client meetings.
  • Assist supervisors in handling customer complaints and day-to-day operational issues.
  • Manage and submit employee, operations, and payroll reports.
  • Oversee the customer service program to ensure customer satisfaction.
  • Develop budgets and monitor financials to meet business goals.
  • Review and evaluate audits to ensure integrity of revenue control.
  • Ensure compliance with company policies and procedures, as well as those of our client.
  • Respond to operational issues when needed (at times, after normal business hours).
  • Maintain the highest professional and ethical standards for both our organization and our client.
