About The Position

The Event Services Manager leads assigned events from contract turnover through execution, serving as the primary client contact and coordinating details across hotel departments. The role focuses on meetings, conferences, and group business, and also supports catering and social events as needed. The manager delivers personalized experiences that meet The Knox’s service and financial goals. As a founding team member reporting to the Director of Catering Sales, the manager will help establish the planning processes and service standards for The Knox’s events offering in Dallas. The role includes coordinating event plans and operations, managing event-day delivery, and helping develop pre-opening procedures and vendor relationships.

Requirements

At least three years of hotel event management experience, including planning and on-site execution from contract turnover.
Strong knowledge of hotel event operations, room setups, banquet service, and event logistics.
Ability to manage multiple events, deadlines, and changing priorities.
Excellent organization, attention to detail, communication, and interpersonal skills.
Ability to solve problems and remain calm and service-oriented under pressure.
Proficiency in Microsoft Office.
Experience with Delphi or a similar event management system.

Experience with Opera, diagramming tools such as Social Tables, and Forbes or LQA standards.

Bachelor’s degree in hospitality, event management, or a related field, or equivalent experience.

Responsibilities

Manage assigned events from contract turnover through execution as the primary planning contact for clients.
Coordinate agendas, menus, room setups, floor plans, timelines, vendors, and special requests; lead planning meetings, tastings, and walkthroughs.
Coordinate room blocks, rooming lists, pickup updates, and guest requests with Group Sales and Reservations.
Identify space, staffing, timing, and operational needs early, and work with clients and hotel teams to resolve concerns.
Prepare and maintain accurate BEOs, group resumes, diagrams, planning notes, and event records in Delphi or the designated system.
Coordinate requirements with Culinary, Banquets, Beverage, AV, Engineering, and other departments; present upcoming events at BEO meetings and lead or join pre- and post-event reviews as needed.
Confirm event readiness and oversee event-day timelines, setups, staffing, and service delivery; address concerns promptly and uphold The Knox’s service standards.
Track guarantees, deposits, and payment deadlines; share updates with relevant teams, review final charges for accuracy, and coordinate billing corrections.
Identify approved enhancements such as menu upgrades, beverage selections, and specialty rentals; document client requests and communicate them to relevant departments.
Help establish pre-opening planning procedures, BEO standards, setup guidelines, vendor processes, and consistent service workflows; build local vendor relationships with Catering Sales and hotel leadership.
Support team onboarding and training, assist with site inspections, hard hat tours, and client meetings, and perform other duties as assigned.
