About The Position

The San Mateo County Event Center is seeking a customer service-oriented Event Coordinator to work special events. The San Mateo County Event Center is a public assembly facility that hosts a wide variety of events and produces the San Mateo County Fair. It also operates the Jockey Club, a satellite wagering facility for horseracing, as well as a full-service food service operation. An event coordinator serves in a highly visible capacity, providing logistical support for events taking place on the SMCEC campus. This role works directly with clients and vendors, along with facilities, operations, and food services staff, to provide event management and coordination to ensure a successful event. This position provides Event Coordinator services during select events on an as-needed basis. This is not a full-time position and does not have a regular work schedule. You will be offered shifts as they become available based on our event schedule. Rate of pay: $27.00 per hour.

Requirements

  • Excellent customer service skills.
  • Organized, detail-oriented; demonstrated maturity in judgment and actions.
  • Excellent verbal communication skills; tact and diplomacy in dealing with people and handling difficult situations.
  • Basic computer skills are required.
  • Experience working with large groups (1000+), including experience in safety and crowd control issues.
  • Remains calm under pressure; ability to direct staff, guests, and vendors in a levelheaded manner in an emergency situation.
  • Requires being punctual, responsible, reliable, and dependable to fulfill job obligations.
  • Must be available to work evenings and weekends.
  • Minimum two (2) years of experience in a hospitality or event related setting, experience in coordinating events and working with staff, vendors, clients, and other participants.

  • CPR certification a plus.

Responsibilities

  • Provide logistical support for events taking place on the San Mateo County Event Center campus.
  • Proactively work to ensure that clients have a positive experience.
  • Oversee safety of guests, vendors, and staff; working with client to correct unsafe situations as needed.
  • Monitor load in, event, and load out to be sure rules are followed and approved event plans and floor plans are enforced.
  • Troubleshoot facility and personnel issues as they arise.
  • Continually survey grounds, parking lots, and areas in use by clients during events for any negative impact.
  • Assure rapid emergency response when/if required.
  • Act as the liaison between key vendors, being the main point of communication between the client and our contractors.
  • Supervise service contractors (e.g., janitorial, security, parking, etc.); confirming hours worked and delegating tasks as necessary.
  • Document the activities of the day, via written notes/reports.
  • Oversee the unlocking/locking of event spaces as required.
  • Perform additional duties as assigned.
