About The Position

This position serves as the Graduate Coordinator for the Department of Environmental Sciences (DES) in the College of the Coast and Environment. The incumbent will serve as the liaison between department faculty, graduate students, and the Graduate School. Responsibilities include, but not limit to, graduate admissions, student records management, course scheduling, program coordination, and departmental reporting.

Requirements

  • Bachelor's degree and two years of related experience OR A master's degree

Responsibilities

  • Coordinate recruitment and admissions processes, including preparing and updating program materials, responding to prospective student inquiries, and facilitating communication between applicants, faculty, and the Graduate School. Monitor applicant systems (e.g., Slate), compile and summarize application materials for faculty review, track admissions decisions, and issue acceptance notifications. Coordinate interviews, maintain committee assignment records, and organize new student orientation and handbook updates - 25%
  • Maintain and manage graduate student records and track academic progress. Coordinate all aspects of graduation and defense logistics, including deadlines, required forms, defense scheduling, and communication with faculty and the Graduate School. Prepare defense materials, surveys, and assessment data, and support reporting requirements. Serve as liaison to ensure compliance with institutional policies and timelines - 25%
  • Support administration of professional and online graduate programs by responding to applicant inquiries, assisting with application review (including deficiencies and transfer credits), and monitoring student progress. Maintain program communications (e.g., shared email accounts), assist with recruitment, and contribute to development of course materials, assessments, and accessibility standards. Support capstone, practicum, and exam coordination - 15%
  • Coordinate course scheduling and curriculum logistics in collaboration with faculty and the department chair. Manage course listings, teaching assignments, room scheduling, and enrollment adjustments. Maintain course records, syllabi, and faculty information, and assist with course updates, textbook orders, and curriculum changes - 15%
  • Facilitate communication across faculty, staff, and students through development and maintenance of program materials, including graduate handbooks, catalogs, and brochures. Support annual reporting (e.g., Board of Regents) and coordinate updates to departmental websites and publications - 10%
  • Maintain alumni records and communications, assist with departmental coordination tasks, and provide support to related administrative units to ensure efficient workflow and continuity of operations - 5%
