About The Position

Eurofins Environment Testing is searching for a Project Manager with Lab Responsibilities. This position is on location in Portland, Maine and candidates should live within a commutable distance to the lab. This position is full-time, Monday - Friday, 1st shift. The Project Manager I (PM I) is accountable for coordinating and managing clients’ projects through all phases of laboratory operations, including project set-up and maintenance, login review, communication of analytical issues, client account maintenance, reporting, invoicing, bottle orders, client pickups, and identification of work share facilities. The PM I role fosters and develops client relationships in support of the laboratory mission. Additionally, this role involves performing laboratory procedures requiring knowledge of scientific methods and testing procedures including batching and prepping samples, making reagents, aliquoting extracted samples, preparing standards, determining analysis methods, and operation, calibration, and maintenance of laboratory instruments. Uploading data into LIMS system for review is also a responsibility.

Requirements

  • BS/BA in Chemistry or related field (3 years laboratory experience may substitute for a degree)
  • Minimum 2 years experience in routine and complex laboratory procedures and instruments, preferably in a production environment.

Nice To Haves

Responsibilities

  • Coordinating and managing clients’ projects through all phases of laboratory operations, including project set-up and maintenance, login review, communication of analytical issues, client account maintenance, reporting, invoicing, bottle orders, client pickups, and identification of work share facilities.
  • Fostering and developing client relationships in support of the laboratory mission.
  • Project Set-up: Project review in LIMS, setting up projects, adding project notes, reviewing project documentation, adding project documentation to central repository, setting up client for Total Access.
  • Managing purchase orders, task orders, contracts, and change order requests.
  • Verifying that lab compound lists and limits meet project requirements for new projects not quoted.
  • Adding project specific limits/lists to LIMS.
  • Deliverable assignment and delivery route confirmation for new projects not quoted.
  • Submitting helpdesk tickets for any new formats needed.
  • Communicating project details to operations.
  • Initiating project kick off calls with client and pertinent staff, if needed.
  • Engaging work share labs, service centers, and non-Eurofins locations as needed for new projects not quoted.
  • Working with operations to ensure adequate capacity for incoming work (forecasting).
  • Providing updates to operations on upcoming work.
  • Familiarity with state and national program requirements as it pertains to work mix.
  • Create bottle orders.
  • Scheduling courier and field sampler, if needed.
  • Confirming non-Eurofins subcontract labs are on the approved list and set-up as vendors for new and existing work.
  • Initiating approval process for any subcontract labs not on the approved list.
  • Generating subcontract paperwork.
  • Generating accounting software requisition when sending subcontract samples.
  • Verifying that lab certification meets project requirements.
  • Verifying that lab compound lists and limits meet project requirements for new quotes.
  • Confirming that EDD format is available for new quotes (delivery assignment and delivery route).
  • Submitting helpdesk tickets for new formats needed for new quotes.
  • Engaging work share labs, service centers, and non-TA locations as needed for new quotes.
  • Providing supporting documentation to client as needed (Contract list, bottle table with preservation, etc).
  • Sample Receipt: Communicating any issues to clients for duration of project.
  • Managing incoming work for rush and short holds.
  • Reviewing log-in and resolving log-in issues with client.
  • Informing client of any log-in discrepancies.
  • Setting samples to “available” after review.
  • Sending client sample receipt confirmation.
  • Reviewing draft invoice.
  • Confirming that any client needed information (Purchase order, project number, etc) is recorded in LIMS for invoicing.
  • Reporting: Client specific report requirements.
  • Reviewing job list daily and managing due dates.
  • Communicating any expected delays to clients before the job due date.
  • Confirming any data anomalies (filtered>dissolved, deviations from historicals, etc) with operations before submitting to client.
  • Reviewing reports and EDDS before issuing to the client.
  • Confirming correct report format and EDD format is used.
  • Creating and issuing final report by client due date.
  • Issuing final data packages, state reporting forms and submission DMR forms, EDD checkers, data upload, compiling case narratives.
  • Invoicing: Setting up delivery route.
  • Reviewing final invoice before issuing to client.
  • Generating credit/debit memos as needed and submitting for approval.
  • Submitting approved credit/debit memos to client, if needed.
  • Submitting revised invoices.
  • Initiating follow up calls to confirm correct invoicing.
  • Working with collections on A/R follow up.
  • Regular review of A/R status.
  • Client Set-up: Working with CSM to communicate lab capabilities to the client.
  • Requesting new client review.
  • Confirming sales assignments with Business Development Manager.
  • Taking new quote requests from clients.
  • Reviewing client contract requirements/coordinating review.
  • Reviewing purchase orders and submitting for approval.
  • Returning approved orders to client.
  • Following up on client terms and credit limit.
  • Account Maintenance: Follow up calls and visits with clients.
  • Providing technical support as needed.
  • Using company resources to follow up on client requests.
  • Familiarity with company capabilities and key contacts.
