The Document Imaging Technician provides department assistance by scanning, entering data, copying, sorting documents alphabetically and numerically, retrieving documents and medical records, picking up charts, and completing other tasks. The role uses office equipment such as copy and fax machines, telephones, and PCs. The technician captures images of original documents for the Sanford patient medical record and transfers them to the data management system or Electronic Medical Record (EMR). Accuracy and image quality are essential because the EMR serves as the organization's legal medical record. The technician indexes and validates paper correspondence, electronic files, and scanned images in the designated database; searches for the correct document type; and assigns patient-identifying information. Invalid forms or document types are communicated to leadership for database inclusion or form reprinting. The technician independently uses scanning software, performs equipment maintenance as needed, applies knowledge of medical record forms and content to quality-check scanned, indexed, and validated documents, and conducts quality assurance at various workflow stages. Work is completed promptly and with close attention to detail and accuracy. Assignments vary according to workload and shift. In a Health Information Management (HIM) setting, the technician prepares documentation for scanning, locates, retrieves, and routes records, uses facility-specific software to determine record locations, finds records for user requests within specified timeframes, scans or imports images into the data management system, and completes STAT fax workflows promptly. In a Patient Financial Service (PFS) setting, the technician handles, receives, sorts, and routes mail to the person who will scan it, creates and affixes mailing labels, and sends mail.
