The Document Imaging Technician provides department assistance through scanning, data entry, copying, sorting, retrieving documents and medical records, chart pick-up, and related tasks. The role uses office equipment such as copy and fax machines, telephones, and PCs. The technician captures images of original documents for Sanford’s patient medical records and transfers them to the data management system or Electronic Medical Record (EMR). Because the EMR is the organization’s legal medical record, accuracy and image quality are essential. The technician indexes and validates paper correspondence, electronic files, and scanned images using a document management database; identifies patient information and document types; and reports invalid forms or document types to leadership. The role also includes operating scanning software, maintaining equipment as needed, and completing quality checks and assurance activities throughout the workflow. Assignments vary according to workload and shift. In a Health Information Management (HIM) setting, duties include preparing records for scanning, locating and routing records, responding to record requests within specified timeframes, scanning or importing images, and completing STAT fax workflows. In a Patient Financial Service (PFS) setting, duties include receiving, sorting, and routing mail, preparing mailing labels, and sending mail to the person who will scan it.
