About The Position

The Document Control Coordinator keeps quality and food safety documentation accurate, current, secure, and ready for use at the Troy manufacturing facility. In this role, you will manage controlled documents and records that support production, sanitation, warehouse, laboratory, and office teams. You will partner across departments to guide documents through review and approval, verify that employees have the right version at the point of use, and support audits and continuous improvement. Your work will help the site strengthen processes as operations expand and more records move from paper to electronic systems.

Requirements

  • High school diploma or GED required.
  • At least one year of experience in document control, quality assurance, records coordination, administrative support, or a regulated manufacturing environment.
  • Working knowledge of Microsoft Office and shared electronic filing systems, with the ability to learn document management or quality management software.
  • Ability to manage confidential information, competing priorities, and time-sensitive requests accurately.
  • Ability to read and follow written procedures and communicate effectively with employees at all organizational levels.

Nice To Haves

  • Associate degree or relevant coursework in quality, food science, business, records management, or a related field.
  • Experience in food, beverage, dietary supplement, pharmaceutical, or another regulated manufacturing environment.
  • Familiarity with FDA Current Good Manufacturing Practices and FSMA preventive-controls records, with experience supporting HACCP, SQF, BRCGS, FSSC 22000, ISO 9001, or comparable systems.
  • Experience with an electronic document management, quality management, enterprise resource planning, or learning management system.
  • Training in good documentation practices, internal auditing, technical writing, or food safety.

Responsibilities

  • Maintain the document control system for policies, standard operating procedures, work instructions, specifications, forms, logs, food safety plans, quality records, and related controlled materials.
  • Assign document numbers and maintain templates, metadata, master document lists, revision histories, effective dates, owners, approvers, retention periods, and distribution records.
  • Route new and revised documents through established review and approval workflows, confirming required approvals before release.
  • Issue current approved versions and promptly remove, archive, or clearly identify obsolete copies to prevent unintended use.
  • Perform routine floor checks to verify current documents and forms are available and completed records are legible, complete, dated, attributable, and filed correctly.
  • Coordinate document changes with process owners, including change requests, impact reviews, implementation dates, employee communication, and training acknowledgments.
  • Collect, index, scan, file, protect, retrieve, and archive paper and electronic records in line with retention, customer, certification, and regulatory requirements.
  • Monitor overdue reviews, missing records, expiring specifications, open actions, and training-document gaps, and escalate unresolved items to the appropriate owner or manager.
  • Prepare records for customer, regulatory, certification, and internal audits, and track document-related corrective actions to closure.
  • Support onboarding and refresher training on document control procedures, good documentation practices, and electronic quality or document management systems.
  • Improve forms and workflows, reduce duplicate records, support the transition from paper to electronic documents, and increase timely record completion.
  • Follow facility safety, sanitation, allergen control, GMP, food defense, confidentiality, access control, and personal protective equipment requirements.
