About The Position

Under general supervision, the Document Control Administrator researches, authors, and helps maintain the documentation of processes, procedures, and work instructions for Manufacturing and Logistics Services (MLS). This job class requires comprehensive knowledge of Document Control functions, technical writing, and experience with Document Control software. The Document Control Administrator will coordinate with appropriate departments and/or cross-functional teams to ensure all documentation is controlled, reviewed, published, and assigned for training.

Requirements

  • Five or more years of technical and business writing experience, with high-level knowledge in document formatting, flow-charting and spreadsheets
  • Advanced computer literacy and skills in using business computing tools for calendaring, spreadsheets, presentations, and flowcharting, specifically Microsoft Suite products such as Word, Adobe Acrobat Professional, and SharePoint
  • Advanced writing skills using business English including vocabulary, spelling, grammatical usage, and punctuation.
  • Excellent proofreading skills attention to detail
  • Must be able to interface with a variety of people with different technical levels and educational backgrounds
  • Must be detail-oriented and highly organized; and must be able to produce accurate and timely results while maintaining a customer-service attitude.
  • Human relations skills to maintain effective working relationships with other staff and clients.
  • Availability to travel to other sites, customer, and supplier locations.
  • Demonstrated organizational, problem solving, and common-sense skills.
  • Bachelors in Business Administration or related field
  • A comparable combination of formal education and work experience will be considered.

Nice To Haves

  • Knowledge of ISO 9001, FDA, and other regulatory standards, highly desirable.

Responsibilities

  • Maintain MLS documentation through the document life cycle including creation, review, revision, approve, publish, and obsoletion, via the established Document control and Learning Management Systems (LMS) procedures.
  • Research, author, and update varied Quality System documents on processes, procedures, and policies.
  • Conduct interviews, reviews existing documentation, observes staff activity, and consults with subject matter experts to fully and accurately document recurring Quality System processes and procedures.
  • Assist departments with writing, formatting, and standardization of documentation per established procedures.
  • Create documents consisting of flow charts, samples (computer screenshots, forms, etc.) and narrative descriptions.
  • Develop new forms for capturing and recording data used to facilitate processes.
  • Publish documents with precise format layouts, text, tables, graphics, flowcharts, and content
  • Aid in coordinating and printing and electronic distribution and storage of developed documentation
  • Utilize standard protocols for document numbering and version control; following corporate and industry standard naming conventions for title and tracking purposes.
  • Ensure internal document controls are in place and are functional including the security, accessibility, and proper distribution of documents.
  • Manges document changes via the Document Change Order (DCO) process including DCO initiation, approval routing, and final releases.
  • Enforce documentation design, review, and storage guidelines.
  • Participate in New Product Introductions (NPI) to integrate customer specific product documentation and procedures as required for manufacturing.
  • Maintain external documentation according to applicable policy, procedures, and ISO regulations.
  • Performs other duties and special projects as assigned.
