We are seeking a self-motivated individual to join the Engineering Division as a Document Control Administrator. The Document Control Administrator is responsible for managing and maintaining the organization's document repository to ensure data integrity, accessibility, and compliance with internal standards and regulatory requirements. Directly leads the enhancement of the repository software functionality, improving metadata-driven searchability, and aligning documentation processes with the Conduct of Engineering manual. Develop and integrate AI functionality into the document repository. Provide effective customer service provided to a wide range of staff, engineers, scientist, and visitors. Manage the plotter systems which will involve printing drawings, plotting posters and maintaining equipment. Train others in engineering to maintain associated systems.

Requirements

  • 2 or more years Relevant Experience
  • Bachelor degree in a relevant field such as Information Management, Engineering, Library Science, or a related discipline.
  • Familiarity with regulatory and quality standards (e.g., ISO 9001, DOE standards).

Nice To Haves

  • Experience in a scientific laboratory, engineering, or technical environment.
  • Experience with digital transformation initiatives or enterprise content management systems (e.g., SharePoint, OpenText, Documentum).

Responsibilities

  • Assume the role of SME for the centralized document repository, provide technical analysis of system capabilities, technical writing and editing, and ensure version control, access permissions, and data integrity are held to highest standards.
  • Lead the development of repository software improvements and opportunities for AI integration. As SME, work directly with IT and software vendors to implement changes.
  • Enhance document searchability through effective use of metadata, taxonomy, and indexing strategies.
  • Lead audit and assessment activities related to document control and records management.
  • Regularly provide technical analysis and update document control policies and procedures to reflect industry best practices and compliance requirements.
  • Provide technical writing, editing and publishing expertise to periodic changes in the Conduct of Engineering manual and other organizational standards.
  • Develop AI methods for ensuring consistency and alignment with other lab documentation.
  • Train engineering staff on document control procedures and repository usage and capabilities.
  • Lead the development of requirements for the next generation of tools and processes to best serve the lab in the future.
  • Integrate novel AI methods into the relational and searchability features of the document repository and drawings database.
  • Manage the plotter systems which will involve printing drawings, plotting posters and maintaining equipment.
  • Train others in engineering to maintain associated systems.
