About The Position

Perfection Heating, Air Conditioning & Refrigeration is seeking a Dispatcher for HVAC Services to coordinate field technicians, manage high-volume service schedules, and optimize routes for efficiency and customer satisfaction. The role involves HVAC dispatch operations, work order management, customer communication, and real-time scheduling using field service management software. The dispatcher supports technicians, helps improve response times, and maintains accurate service records in a fast-paced service environment.

Requirements

• High school diploma or GED.
• 1–3+ years of dispatching or scheduling experience.
• Strong organizational and multitasking skills.
• Excellent verbal and written communication skills.
• Ability to remain calm in fast-paced, high-volume environments.
• Strong customer service and problem-solving abilities.
• Proficiency in Microsoft Office and dispatching software.

Nice To Haves

• Dispatching or scheduling experience in HVAC, plumbing, electrical, or field service.
• Experience with ServiceTitan, FieldEdge, Service Fusion, or similar dispatching software.

Responsibilities

• Schedule, dispatch, and route HVAC service technicians based on priority, skill set, location, and availability.
• Monitor technician schedules in real time and adjust for emergencies, delays, or cancellations.
• Coordinate same-day and next-day service calls efficiently.
• Gather accurate service details and enter work orders into the system.
• Provide appointment confirmations, arrival windows, and updates to customers.
• Create, update, and close service tickets in dispatch or field service software.
• Track technician status, including en route, on-site, and completed.
• Communicate with technicians regarding job expectations, parts availability, and schedule changes.
• Assist with after-hours or emergency dispatching as required.
• Maintain service KPIs, including on-time arrival rate, first-time fix rate, customer satisfaction, and jobs completed per day.
