About The Position

INTERPOL is the world’s largest international police organization, with 196 Member Countries. Created in 1923, it facilitates cross-border police co-operation, and supports and assists all organizations, authorities, and services whose mission is to prevent or combat international crime. The Office of the Special Representative of INTERPOL to the United Nations is located in New York and it opened in November 2004. Its role is to raise awareness of INTERPOL’s tools and services, identify areas of common interest, and explore cooperation opportunities with the United Nations in line with strategic priorities. The post holder will provide secretariat services for the Special Representative of INTERPOL to the United Nations and the Office of the Special Representative of INTERPOL to the United Nations. The post holder will provide administrative assistance and deal with day-to-day matters concerning the New York Directorate, and act as liaison to the UN and its Permanent Missions.

Requirements

  • Ability to report for duty approximately two to three months after receiving an offer of employment at the latest.

Responsibilities

  • Perform secretarial duties and provide administrative assistance for the Special Representative of INTERPOL to the United Nations, including preparing missions, handling specific files, managing the agenda, researching information, procuring supplies, and performing other administrative tasks.
  • Handle finances, procurement, and regular reporting for the SRIUN Office, manage administrative relations with various Directorates, prepare financial reports, manage accounts and petty cash, make requests to colleagues, respond to queries, ensure efficient daily operations, prepare bi-weekly reports, act as a central administrative liaison, and ensure compliance with administrative rules.
  • Provide support for all staff of the SRIUN Office, including performing research, preparing materials, attending conferences and meetings, drafting documents, handling files, assisting in meeting preparation, ensuring the office is presentable, and providing ad hoc administrative support.
  • Liaise with the United Nations Offices and Permanent Missions to the United Nations on behalf of the SRIUN Office, handling protocol matters, managing requests to UN service providers, preparing materials for briefings and meetings, coordinating activities with Permanent Missions, and making arrangements for hosted meetings.
  • Prepare correspondence and documentation needed for the daily work of the Special Representative of INTERPOL to the UN, including drafting correspondence, incorporating protocol requirements, keeping necessary materials available, processing mail, and initiating appropriate action on requests and correspondence.
  • Act as principal liaison with IT staff, provide solutions to basic technology challenges, support the Secretary General and other high-level officials during missions, ensure working office space, manage logistical and administrative arrangements for visitors, request and ensure timely receipt of INTERPOL documents, and may be requested to go on mission or accompany staff on mission.
