About The Position

New York Theatre Workshop (NYTW) is seeking a Development Associate to join their Development team. This role is key to supporting all fundraising activities, including donor relations, database operations, event support, and administrative duties. The Development Associate will serve as a concierge to individual donors, manage acknowledgement letters, conduct prospect research, support event planning and execution, and coordinate direct mail and email campaigns. The position also involves contributing to the department's equity, diversity, and inclusion goals and potentially assisting with institutional giving research. Nice To Haves

  • Experience working in arts administration, event production, or another area of the theatre industry.
  • Experience with ticketing systems, database or project-management software and best practices.
  • Experience using programs like Spektrix, iWave/Kindsight, Tessitura, Salesforce, Raiser's Edge, Trello, Asana, AirTable, Microsoft 360, Social Tables, Canva, or others.
  • Experience in fundraising.
  • Ability to help you and your teammates work smarter.

Responsibilities

  • Serve as a concierge to all individual donors, including Repeat Defenders, Young Defenders, Trustees, major donors, and special event attendees, by sending invitations, tracking RSVPs, booking tickets, sending reminder emails, making phone calls, and tracking donor interactions in the Spektrix database.
  • Steward meaningful relationships with NYTW's donors and assist in renewal outreach and communication.
  • Lead the Young Defenders program, coordinating strategy, communication, renewals, event-planning, cultivation, and stewardship.
  • Manage all acknowledgement letters for individual donors, including pulling and preparing data for mail-merges, printing, packing, and mailing letters.
  • Conduct prospect research and wealth screening to identify potential funders.
  • Utilize NYTW's CRM to pull donor and gift reports and update data for moves management fundraising.
  • Support event planning, including guest communications, vendor management, research, and generating materials.
  • Assist with event set-up and tear-down, participate in cultivation and stewardship during events, and manage post-event communications.
  • Contribute to the success of the annual Gala by maintaining pre-production systems, tracking income and expenses, managing journal ads and table guests, overseeing check-in, supporting staff on event day, executing post-event analyses, and donor follow-ups.
  • Manage note-taking and a comprehensive calendar, including calendaring and taking minutes for team, donor, and Board meetings.
  • Coordinate direct mail and email campaigns, including list segmentation, securing vendors, printing, mailing, delivery, and gift acknowledgement.
  • Work with the marketing team to source and produce content for donor communications.
  • Review and update data for donor acknowledgement listings.
  • Actively participate in working toward the Development department's equity, diversity, and inclusion goals.
  • Serve on the Audience Services Committee, working on intervention and disruption protocols and accessibility initiatives.
  • Assist other Development team members with tasks such as prospect research for institutional giving, setting up for meetings, taking meeting minutes, and ticket booking assistance.
