About The Position

Washington State University's Department of Sociology in the College of Arts and Sciences is seeking a Department Operations & Program Coordinator to support the department's graduate academic program and administrative operations. The successful candidate will play a key role in coordinating graduate academic processes and ensuring the efficient operation of the Sociology Department. This role involves coordinating admissions and onboarding, scheduling examinations and defenses, maintaining student records, and compiling data for reviews and reports. The position also oversees scholarship applications, manages enrollment transactions, and acts as a liaison with the Graduate School. Additionally, the coordinator provides support to the Department Chair, manages daily operations, schedules meetings, maintains records, and serves as a primary point of contact for students, staff, and visitors.

Requirements

  • High school graduation or equivalent AND two years of full-time clerical experience OR equivalent education/experience (for Program Assistant).
  • High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience (for Program Coordinator).
  • Two or more years of full-time experience working with student programs, student records, creating and maintaining confidential records; or equivalent experience.
  • Experience using Microsoft Office Suite applications.
  • Excellent communication skills, oral and written.
  • The ability to perform work with high level of accuracy and efficiency.

Responsibilities

  • Coordinating admissions and onboarding activities for the graduate program.
  • Scheduling master's examinations and doctoral defenses.
  • Maintaining student records and collecting/compiling data for annual reviews, reports, and assessments.
  • Overseeing scholarship and award application processes.
  • Managing program-related scheduling and enrollment transactions.
  • Serving as the primary liaison between the Sociology department, the Graduate School, and other stakeholders.
  • Providing information regarding program requirements, deadlines, and processes.
  • Supporting day-to-day operations for the Department Chair.
  • Scheduling meetings and activities.
  • Maintaining database information, files, and confidential records.
  • Serving as the primary point of contact for students, staff, and visitors via phone, email, and in-person.
