About The Position

This position serves as one of the first points of contact for patients, visitors, and families as they enter the hospital. You’ll provide a friendly welcome, help answer questions, and direct people to the department or location they need. We are seeking a Department Assistant/Receptionist to join our Volunteers Department team! In this role, you'll play an important role in helping provide a welcoming, organized, and service-focused environment while supporting volunteer engagement and departmental daily operations. This role is ideal for an organized and customer-focused professional who enjoys working with people, managing multiple priorities, and supporting day-to-day departmental operations in a collaborative healthcare environment.

Requirements

  • Minimum of one (1) year of experience in an administrative role.
  • Minimum of one (1) year of experience in a medical setting.
  • Minimum of one (1) year of experience in a similar role.
  • Minimum of one (1) year of experience in customer service, reception, or retail.
  • Post high school education or vocational training in healthcare.
  • Excellent organizational skills with strong attention to detail and the ability to prioritize effectively.
  • Strong critical thinking skills with the ability to work independently and collaboratively within a team environment.
  • Excellent verbal and written communication skills with the ability to interact effectively with various audiences.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with professionalism and diplomacy.
  • Commitment to maintaining confidentiality and professionalism in all interactions.
  • Proficient computer skills including Microsoft Office Suite and the ability to learn additional software systems as needed.

Nice To Haves

  • Understanding of medical terminology preferred.
  • Current CPR certification preferred or required as applicable to assigned area(s).
  • Current Notary Public certification or the ability to obtain preferred.

Responsibilities

  • Provide administrative and technical support for the Volunteers Department in an organized and accurate manner according to department policies and procedures.
  • Coordinate and communicate the flow of daily activities, information, and operations for assigned areas.
  • Greet and assist volunteers, staff, patients, and visitors in a professional and welcoming manner.
  • Develop and maintain filing systems, records, and documentation according to department protocols.
  • Assist with documentation collection, data entry, tracking, and reporting as needed.
  • Coordinate appointments, meetings, schedules, agendas, and meeting minutes as applicable.
  • Assist leadership with staffing coordination, scheduling communication, and daily operational support.
  • Maintain office supply inventory and assist with ordering supplies as needed.
  • Provide backup support for other department support staff and assist with departmental projects and activities.
  • Perform quality checks on completed work to ensure accuracy and customer satisfaction.
  • Assist in onboarding, training, and orientation activities for new employees and volunteers as applicable.
  • Maintain professionalism, confidentiality, and excellent customer service in all interactions.
