About The Position

The Dental Principal Administrative Aide is vital to the dental healthcare system, especially in public health settings. Their responsibilities and purpose contribute significantly to the overall efficiency, accessibility, and quality of dental care services. Often, they are the first person patients interact with, shaping their initial impression of the dental practice or clinic. They facilitate positive patient experiences by providing friendly, professional, and empathetic communication. Moreover, handle sensitive patient information per legal and ethical standards, maintaining trust and confidentiality.

Requirements

  • Two (2) years of progressively responsible office support experience.
  • Graduation from high school or High School Certificate of completion recognized in the State of Maryland.
  • An equivalent combination of education and work experience may be substituted.

  • Previous experience working in a dental or healthcare reception environment
  • Experience working in public health settings or community clinics
  • Familiarity with or experience with appointment scheduling software and record management systems in a healthcare setting
  • The ability to manage multiple tasks efficiently (e.g., scheduling, data entry, phone management)
  • Awareness of community health issues and barriers to access
  • Basic multilingual language skills
  • Experience working in a dental or medical setting
  • Customer service experience with substantial verbal and written communication skills
  • Ability to communicate clearly and empathetically with diverse populations, including vulnerable or underserved groups.
  • Flexibility and adaptability in working at various worksites/locations.

Responsibilities

  • Provide phone and visitor reception for a dental clinic.
  • Register, schedule, and confirm patient appointments.
  • Greet patients and assist with Medicaid/ sliding Fee Scale issues/inquiries.
  • Queries callers to ascertain the nature of calls, refer to appropriate staff, or respond to callers' needs independently; maintains dental clinic calendars.
  • Ability to meet time-sensitive deadlines and/or demands.
  • Ensure electronic health record (EHR) schedules match dental providers' schedules and staff leave scheduling system.
  • Ensure all patient medical history, and intake forms are completed and scanned into the patient’s record on the same day as the patient’s appointment.
  • Ensure the correct data (appointment type, patient identifiers, income, family size, insurance and/or payer ID, rendering provider, first consultant, etc.) is inputted into the EHR system so that correct statistic reports can be gathered, and bills can be processed.
  • Ensure that the patient fee collections, fee reports, and bank deposits are completed in a timeline outlined by program/HHS fiscal policies.
  • Ensure patient compliance in attending appointments and filling out forms.
  • Perform other job-related duties as assigned.

Benefits

  • The salary range above represents this position’s earning potential. The anticipated hiring range for this position will be $53,177 to $75,404 , based on the candidate’s qualifications and experience.
