About The Position

The Dealership Administrative Coordinator (DAC) supports the retail sales team at Avis Car Sales by providing effective, accurate, and timely administrative support. This role is crucial for the timely disposal of vehicle assets offered for sale. The DAC will communicate regularly with the Avis Car Sales team to ensure the accuracy of retail transactions, fundings, registration, and title transfers, which are essential for completing vehicle retail sales.

Requirements

  • High School Diploma
  • Minimum 2 years of administrative assistance experience
  • Minimum 2 years of automotive retail title clerk experience
  • Ability to manage multiple duties simultaneously
  • Advanced PC skills including knowledge of Excel, Word, and Microsoft Works
  • Detail-oriented
  • Excellent communication and organization skills
  • Self-starter possessing the abilities to meet deadlines, set priorities, and multi-task
  • A willingness to learn and adapt to change

Nice To Haves

  • Retail car sales experience
  • Experience with DealerTrack DMS and F&I/Unify
  • Experience with the following title and registration solution platforms: CVR, VITU, AVRS, Webdealer

Responsibilities

  • Coordinate sales completion and title administrative tasks for dedicated or multiple Avis Car Sales locations.
  • Receive and audit deal jackets, organize, validate, and process paperwork and funding documents.
  • Ensure completion and accuracy of required documents (Verify ID, signatures, VIN, titles for trades, odometer reading, customer down payments, receipts, etc.) as per a specific deal checklist.
  • Process title and registration applications and ensure all vehicle registration paperwork is properly and accurately processed and submitted.
  • Coordinate with customers and tag agencies to resolve any issues that may arise in title/registration processing.
  • Manage customer inquiries regarding titles and registration.
  • Monitor the delivery of titles and plates to the dealership, customers, and/or finance companies.
  • Ensure all monies received for car deals are accurate, accounted for, and reconciled.
  • Ensure every trade title transfer is properly executed and accounted for.
  • Verify and match fundings for every vehicle sold or trade-in.
  • Ensure every lien is executed and perfected in a timely manner according to lending partner requirements.
  • Ensure compliance with state and local laws in title/registration processing.
  • Ensure compliance and accuracy with sales and sales tax reporting as required by state DMV.
  • Periodically meet with VAB office/WHQ team members and third-party vending partners to review and discuss pending matters and needs.
  • Perform other duties as needed.
