About The Position

Reporting directly to a Court Administrator, the Court Clerk II is responsible for a variety of increasingly complex legal procedural duties in support of the Justice of the Peace Court involving the filing and disposition of criminal and traffic cases and civil claims. This role provides customer service and performs detailed legal procedures associated with the receipt, review, processing and maintenance of court documents and case files. The position also prepares and processes varied legal procedures and documents including summons, subpoenas, writs, notifications, motions, orders, judgments, abstracts, appeals and dismissals. Additionally, the Court Clerk II sets the court appearance schedule, assists with docket coordination, serves as courtroom clerk as required, prepares a variety of reports related to case management and compliance, and cross-trains for departmental coverage of specialized duty assignments. The role involves working with various local, county and state agencies, utilizing legal reference materials for research, and scheduling court hearings while mailing out notices. The position requires attendance at all meetings and trainings, as required, and performing special duties as assigned. Specific assignments may include Criminal Clerk duties (processing citations, warrants, pleas, booking sheets, time-served requests, bonds, and Driver Safety course applications), Civil Clerk duties (scheduling and processing hearings for civil claims, evictions, small claims, debt claims, transfer of venues, and Occupational Driver’s License requests), Juvenile Case Manager duties (performing civil and criminal transactions for juvenile defendants, coordinating juvenile programs, maintaining sponsorship, overseeing fund disbursement, performing home and school visits, and serving as courtroom clerk for juvenile cases), and Collections Coordinator duties (processing payment plans, indigency review, community service, conducting reference interviews, processing past-due notices and phone calls, scheduling show cause hearings, and monitoring payment plans).

Requirements

  • High school diploma or equivalent
  • Two (2) years of clerical experience, with six (6) months experience in a court or legal setting; or six (6) months experience in a Williamson County Court Clerk I position
  • One (1) year cash-handling experience
  • Working knowledge of specific job-related technology

  • Processes Driver Safety course applications
  • Schedules and processes court hearings for a wide variety of civil claims and cases
  • Processes evictions, small claims, debt claims and transfer of venues
  • Processes Occupational Driver’s License requests
  • Performs research to maintain up-to-date knowledge of monthly judgment interest rates
  • Performs various civil and criminal transactions pertaining to juvenile defendants
  • Serves as Coordinator and Facilitator for juvenile programs
  • Maintains program(s) sponsorship and oversees fund disbursement
  • Performs home and school visits; meets with and provides support to juveniles
  • Serves as courtroom clerk for juvenile cases
  • Processes requests for payment plans, indigency review and community service
  • Conducts reference interviews and verifications
  • Processes past-due notices by mail and performs past-due phone calls
  • Schedules show cause hearings for payment non-compliance
  • Monitors payment plans and takes appropriate action to issue or recall warrants
