About The Position

The Court Clerk serves as a vital clerical support professional within the Quapaw Nation Court system. This position is responsible for maintaining official court records, assisting judges and court personnel, processing legal documents, supporting courtroom operations, and performing financial tracking functions such as daily cash balancing and monthly reporting. The Court Clerk plays a critical role in ensuring that court operations, records management, and legal processes are conducted accurately, efficiently, and in compliance with applicable laws, court procedures, and tribal codes. This role requires professionalism, attention to detail, and strong organizational skills.

  • Must maintain a valid driver’s license in good standing and qualify under the Quapaw Nation Motor Vehicle Policy.
  • High school diploma or equivalent required.
  • Ability to sit or stand for extended periods and perform tasks that require reaching above shoulder level.
  • Ability to push, pull, squat, kneel, bend, and safely lift and carry up to 50 pounds.
  • Visual acuity sufficient to perform essential job functions, with or without reasonable accommodation.
  • Ability to travel occasionally for meetings, training, seminars, or professional development opportunities.
  • Pre-employment drug screen, criminal background check and confirmation of professional references.

Nice To Haves

  • Prior experience in clerical or legal support services preferred.
  • Experience working within a legal or court system preferred.
  • An equivalent combination of education, training, and relevant experience may be considered.
  • Paralegal Certification or Court Clerk training preferred.
  • Associate degree in Criminal Justice, Legal Studies, Business Administration, or a related field preferred.

Responsibilities

  • Assist judges in recording court proceedings and preparing legal documents such as writs, orders, and processes.
  • Support case management activities, including scheduling hearings, maintaining dockets, and managing court calendars.
  • Prepare case files for court hearings and maintain orderly calendars of proceedings.
  • Record court minutes and prepare summaries of proceedings as directed.
  • Draft and distribute court documents including orders, sentencing documents, probation orders, summonses, notices, and correspondence.
  • Receive, review, and file legal documents for civil, criminal, traffic, juvenile, and other court matters.
  • Enter case information into court databases and docketing systems with a high level of accuracy.
  • Maintain, organize, update, and retrieve court records in both electronic and physical formats.
  • Conduct database searches for case-related information and records.
  • Ensure strict confidentiality of sensitive legal information and court records.
  • Provide courteous, professional assistance to tribal citizens, attorneys, litigants, and the public.
  • Respond to inquiries regarding court filings, procedures, and schedules.
  • Assist customers in person and by phone with general questions and filing processes.
  • Provide approved court forms and general procedural information.
  • Answer and route phone calls, take messages, and direct inquiries appropriately.
  • Maintain ethical standards by refraining from providing legal advice or recommending legal representation.
  • Perform copying, certification, and document processing as required.
  • Sort and distribute incoming and outgoing mail.
  • Collect fines, fees, and court costs while issuing accurate receipts in accordance with policies and procedures.
  • Perform basic bookkeeping and financial recordkeeping duties, ensuring accuracy and compliance with established procedures.
  • Assist with general office management and administrative functions.
  • Administer oaths and affirmations as authorized.
  • Issue licenses and other assigned court documents.
  • Perform other duties as assigned.
  • Attend meetings, seminars, workshops, and training sessions as required to support professional development and program objectives.
  • Assist with special projects.
