About The Position

Under general supervision, performs a variety of specialized legal clerical work of routine difficulty in support of the operations and services of the Justice Court. This role involves a wide range of duties including customer service, processing legal documents, data entry, financial transactions, and courtroom support.

Requirements

  • High school diploma or equivalent.
  • A minimum of three (3) years of progressively responsible general office experience.
  • Must possess a valid Arizona driver’s license.
  • Knowledge of legal terminology and court procedures.
  • Knowledge of general bookkeeping and accounting principles.
  • Knowledge of AJACS program or other court specific automated case management system.
  • Knowledge of business English, spelling, grammar, punctuation, and composition.
  • Knowledge of clerical office practices and procedures.
  • Knowledge of research techniques and report writing.
  • Knowledge of current Microsoft Office software.
  • Knowledge of filing and recordkeeping.
  • Skill in communicating effectively verbally and in writing and communicating orally in a face-to-face setting and by telephone with public and employees.
  • Skill in establishing and maintaining effective working relationships with employees, other agencies, and the public.
  • Skill in organization and adherence to detail.
  • Ability to follow written and verbal instructions.
  • Ability to memorize procedures.
  • Ability to process work accurately and detect variations from the normal in documents and files.
  • Ability to type at a minimum speed of sixty (60) WPM.
  • Ability to comprehend and make inferences from written material and verbal communications.
  • Ability to effectively assist supervisor in preparing statistical and financial reports.
  • Ability to effectively assist in the training of court personnel on office procedures and use of equipment.
  • Ability to develop and maintain effective working relationships with associates, employees of other departments, representatives of other organizations, County officials, and the public.
  • Ability to keep management informed of key operating issues affecting the department.
  • Ability to remain current in knowledge required to perform assigned duties.
  • Ability to handle confidential matters and maintain discretion always.
  • Ability to act with courtesy, tact, and diplomacy.

Responsibilities

  • Performs customer service both in-person and telephonically.
  • Process a variety of court-related documents.
  • Performs data entry, photocopying, and filing.
  • Assists with receipting, bookkeeping, collections, and other financial transactions.
  • Retrieves files and documents and retrieves, opens, and delivers mail.
  • Accepts and processes filings of documents.
  • Accepts and receives monies paid as fines, fees, bonds and other financial obligations, issues receipt.
  • Disburses restitution, bond refunds, and court-ordered refunds.
  • Enters cases into the FARE collection system.
  • Retrieves, reviews, and posts State Tax interceptions (TIPS) and lottery interceptions.
  • Prepares both daily and end-of-month reconciliation and remittance reports.
  • Schedules hearings, notifies parties involved, maintains court calendar, and serves as a courtroom clerk.
  • Assists supervisor in preparation of statistical and financial reports and in training court personnel.
  • Performs other job-related duties as assigned.
