About The Position

This position is assigned to the Department of Corrections Tacoma CJC; however, it will have the flexibility to telework from home, reporting to a physical office per your Telework Agreement. The Department of Corrections (DOC) is seeking highly motivated and qualified individual to fill a full-time permanent Correctional Records Technician Lead (CRT-Lead) position with the Hearings Records Unit. This position's duty station is located at the Tacoma Community Justice Center in Tacoma, WA. The Hearings Records Unit is tasked by the agency with facilitating the functions of the Hearings Unit, which is responsible for the conduct of all community custody and work release hearings for the Department of Corrections. As a custodian of offender records, reporting to the Correctional Records Supervisor (CRS), the Correctional Records Technician Lead (CRTL) assists in the Hearings Records Unit processes for offenders who are currently under DOC’s jurisdiction and are in the hearing process. By ensuring that the hearing process is initiated and completed, this position contributes to the Department of Corrections Mission: to improve public safety. Requirements

  • High School Diploma or equivalent
  • Two (2) years of experience maintaining or processing records of sentenced individuals. NOTE: Records of sentenced individuals are defined as records containing certified copies of the original documents relating to the individual's crime and sentence. Records of sentenced individuals are not property files, grievance files, administrative files, treatment files, slough files, parole files, counselor files, or custody files.
  • Six (6) months experience working within the Offender Management Network Information (OMNI) program.
  • Intermediate level experience with Microsoft Office Programs, to include Outlook, Teams, Word, and Excel.
  • Must respect and maintain confidentiality
  • Demonstrated ability to effectively communicate with co-workers, the public and/or criminal justice agencies orally and in writing.

Nice To Haves

  • One (1) year experience calculating CCP return, DOSA revocation/reclassification, and misdemeanor suspended sentence time.
  • One (1) year experience of working with the offender management network information system (OMNI).
  • Six (6) months experience as Correctional Records Technician in the DOC Hearings Records Unit, with a completion of trial/probationary period.

Responsibilities

  • Lead and provide direction, guidance, training to CRT staff in support of and in the absence of the Correctional Records Supervisor in Hearings Records processes and verifying accuracy of calculations.
  • Provide clarification, coordinate and monitor the accuracy of the Hearing Records processes, be available for questions and provide suggestions for streamlining processes.
  • Train staff on the use of the database systems, hearings records processes and calculations.
  • Audit and verify accuracy of the calculations completed by the CRTs for individuals that were returned/revoked.
  • Review OMNI screens including supervision activities and sentence structure.
  • Assist in maintaining desk manual processes and resources.
  • Keeps CRS apprised of any performance issues.
  • Assists DOC staff and other stakeholders by providing exceptional customer service, effective communication and thorough/timely request processing.
  • Other duties as assigned.
