About The Position

The Corporate Administrator plays a critical role in supporting the CEO, COO, and Executive Vice President by providing high-level administrative, operational, and strategic support. This position is responsible for managing executive priorities, coordinating complex schedules, organizing meetings and events, and ensuring the efficient operation of the Support Center. The ideal candidate is highly organized, proactive, detail-oriented, and thrives in a fast-paced environment. This individual anticipates the needs of executive leadership, takes initiative without being asked, asks thoughtful questions to ensure accuracy, and works collaboratively across departments while maintaining the highest level of professionalism and confidentiality.

Requirements

  • Minimum of two (2) years of experience supporting executive leadership as a Corporate Administrator, Executive Assistant, Administrative Assistant, or similar role.
  • High school diploma or equivalent required; Bachelor's degree in Business Administration or a related field preferred.
  • Exceptional organizational, communication, and time management skills with strong attention to detail.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Ability to maintain complete confidentiality and exercise sound judgment when handling sensitive information.
  • Demonstrates a proactive mindset by anticipating needs, identifying opportunities for improvement, and taking ownership of responsibilities.
  • Takes initiative and follows through with minimal supervision while maintaining a high level of accuracy.
  • Asks thoughtful questions to gain clarity, improve understanding, and ensure work is completed the first time correctly.

  • May occasionally be required to work beyond regularly scheduled hours, including more than 40 hours per week, based on business needs, executive priorities, meetings, or company events.

  • Performs all other job duties and responsibilities as assigned by the HR Manager, CEO, COO, Executive Vice President, or Executive Leadership Team.

Responsibilities

  • Manage and maintain the CEO, COO, and Executive Vice President's complex calendars, ensuring priorities are aligned and scheduling conflicts are minimized.
  • Coordinate executive meetings, appointments, conference calls, and events, including preparing agendas, meeting materials, and follow-up action items.
  • Arrange and manage executive travel, including flights, hotels, transportation, itineraries, and travel-related logistics.
  • Keep executive leadership informed of daily schedules, priorities, deadlines, and upcoming commitments.
  • Draft, proofread, edit, and distribute correspondence, reports, presentations, and executive communications.
  • Maintain confidential files, records, and documentation while exercising the highest level of discretion.
  • Coordinate and support executive meetings, leadership meetings, company events, trainings, and special projects.
  • Assist with planning and coordinating bi-weekly lunches at the Support Center, including ordering meals, coordinating vendors, preparing meeting spaces, and managing logistics.
  • Assist with planning, preparing, and supporting all company meetings, including setup, materials, technology, and cleanup.
  • Prepare meeting rooms by ensuring all supplies, technology, and presentation materials are available and functioning properly.
  • Track meeting action items and follow up to ensure timely completion of assigned tasks.
  • Monitor, order, stock, and organize office supplies, breakroom supplies, beverages, and employee snacks to ensure the office remains fully stocked.
  • Coordinate deliveries, shipping, mail distribution, and vendor services.
  • Maintain an organized, clean, and professional office environment.
  • Organize and maintain administrative records and filing systems.
  • Anticipate the needs of executive leadership by proactively identifying issues, recommending solutions, and taking initiative to resolve administrative or operational challenges.
  • Assist executives and the HR Manager with strategic initiatives, special projects, and company-wide programs.
  • Provide occasional transportation for executives, candidates, employees, or business guests to and from the airport or other business-related locations, as needed.
  • Collaborate with departments across the organization to ensure projects, meetings, and executive priorities are completed efficiently.
  • Build and maintain positive working relationships with employees, vendors, clients, and business partners.
  • Perform other duties and responsibilities as assigned by the HR Manager or Executive Leadership Team.
