About The Position

The Corporate Office Administrative Assistant plays a central role in ensuring the smooth, efficient, and professional operation of the company’s corporate headquarters. This position supports executive leadership, executes administrative functions, manages office operations, and helps maintain compliance and organizational standards across a multi-property real estate portfolio. The ideal candidate is highly organized, proactive, and comfortable working in a fast-paced environment with shifting priorities.

Requirements

  • High School diploma or equivalent required.
  • Prior experience in a business office environment, preferably in real estate, property management, construction, or a related industry.
  • Demonstrated proactive attitude, strong organizational skills, and attention to detail.
  • Excellent customer service skills and the ability to communicate clearly and professionally.
  • Ability to set priorities and complete tasks within established deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and common business software.
  • Ability to maintain confidentiality and handle sensitive information.

Nice To Haves

  • Experience supporting executive leadership or C‑suite teams preferred.
  • Familiarity with property management software (e.g., Yardi, AppFolio, MRI), a plus.

Responsibilities

  • Oversee day‑to‑day operations of the corporate office, ensuring a professional, efficient, and well‑organized environment.
  • Answer and screen telephone calls in a courteous and professional manner.
  • Greet visitors in a professional and welcoming manner.
  • Manage daily mail operations, including receiving and distributing mail/packages, maintaining postage meter levels, and coordinating messenger services as needed.
  • Monitor office supplies inventory and reorder items as necessary.
  • Coordinate office maintenance, repairs, and facility needs.
  • Maintain cleanliness and organization of office common areas, including the kitchen.
  • Coordinate internal meetings, events, training sessions, and group lunches.
  • Decorate workstations for birthdays and other celebrations.
  • Develop and maintain office policies, procedures, and administrative systems.
  • Perform additional duties as requested by senior management team members.
