About The Position

The Corporate Administrative Assistant serves as the first point of contact for visitors and callers while supporting administrative and operational functions across corporate departments. This role combines front-desk responsibilities with broader administrative support, including office coordination, data management, and cross-functional project support. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while maintaining professionalism and confidentiality.

Requirements

  • High school diploma or GED required; additional administrative training or coursework preferred.
  • 2–4 years of experience in an administrative, receptionist, or office support role (corporate environment preferred).
  • Strong verbal and written communication skills with the ability to interact effectively at all levels of the organization.
  • Demonstrated ability to manage multiple priorities with strong organizational and time management skills.
  • High level of professionalism, discretion, and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); intermediate Excel skills preferred.
  • Ability to work independently as well as collaboratively in a team environment.
  • English: excellent verbal and written communication skills to effectively deal with all levels of personnel, customers, and visitors.

Responsibilities

  • Serve as the primary receptionist by answering and directing incoming calls via the main switchboard.
  • Greet and assist visitors in a professional and welcoming manner; ensure a positive first impression of the organization.
  • Support facility access, security procedures, and EHS protocols for visitors and employees.
  • Manage incoming and outgoing mail, including sorting, distributing, scanning, and filing documents as appropriate.
  • Monitor shared service ticketing systems and route inquiries to appropriate team members in a timely manner.
  • Perform administrative support tasks, including document preparation, printing, badge creation, and general office coordination.
  • Manage badge systems, visitor logs, or access systems
  • Support shared inboxes or digital workflows (ticketing systems, forms, etc.)
  • Provide administrative support to HR and other departments, including assistance with special projects, reporting, and data entry.
  • Schedule meetings and coordinate conference room logistics
  • Assist with company events, meetings, and employee engagement activities
  • Maintain confidentiality when handling employee, business, and sensitive information.
