About The Position

The Administrative Assistant – Corporate Security position provides critical support within the department and may be assigned to one or more managers and professionals. The role is responsible for managing schedules, processing routine correspondence, and supporting day-to-day operations using departmental templates and internal systems. This position requires a strong working knowledge of office productivity tools and familiarity with departmental terminology.

Requirements

  • High School Diploma or GED
  • 1+ years of administrative or related experience
  • Strong proficiency in Microsoft Office (Word, Excel, Access, PowerPoint)

Responsibilities

  • Greet and assist employees, visitors, vendors, and contractors in a professional manner.
  • Manage visitor registration through Envoy Visitor Management System, check-in/check-out processes (Envoy), and issuance of visitor, temporary, and special event badges.
  • Monitor and administer access control systems (Genetec CCTV and access control).
  • Maintain visitor logs, access records, and other security-related documentation.
  • Answer and direct incoming calls, emails, and inquiries to appropriate departments.
  • Coordinate calendars, schedule meetings, reserve conference rooms, and support internal/external meetings, events, and executive visits.
  • Serve as a liaison between Corporate Security, Facilities, Human Resources, and business units.
  • Respond to security, safety, and emergency-related situations in accordance with established procedures.
  • Support mail, package, and delivery management processes.
  • Arrange travel and track travel-related expenses.
  • Create reports and prepare presentations.
  • Maintain filing systems and databases.
  • Process invoices and support basic financial tracking.
  • Order office supplies and manage inventory needs.
  • Prepare and distribute meeting minutes.
  • Support onboarding logistics for new hires (equipment, supplies, access setup).
  • Conduct research and support special projects as needed.
