We are looking for an Operations Coordinator to support the administrative and operational activities of the Talent and Culture team. You will play a key role in welcoming and integrating employees and will actively participate in the automation of HR processes.

Requirements

  • Bachelor's degree in Human Resources.
  • Member of the Ordre des CRHA or in progress.
  • Minimum of 2 years of experience in HR administrative support, ideally in a professional firm.
  • Proficiency in Microsoft Office and other collaborative tools (Teams, Monday.com).
  • Solid knowledge of HRIS platforms (UKG is an asset).
  • Excellent organizational skills and attention to detail.
  • Discretion, professionalism, and impeccable internal customer service.
  • Interpersonal skills and team spirit.
  • Autonomy and ability to manage multiple priorities.
  • Strong interest in automated processes and continuous improvement.
  • Bilingualism in French and English, both oral and written.
  • Good judgment and critical thinking.

Responsibilities

  • Prepare HR notifications and coordinate with other departments to ensure appropriate actions are taken for new hires and internal movements.
  • Plan, coordinate, and participate in the onboarding and integration of new recruits.
  • Prepare welcome materials, organize the first days, and ensure follow-up on integration.
  • Ensure compliance and archiving of employee files.
  • Participate in the reflection and implementation of solutions that improve efficiency and employee experience.
  • Maintain accurate, complete, and confidential employee files.
  • Draft contracts, letters, administrative documents, and format various HR documents.
  • Manage the coordination of candidate background checks.
  • Approve expenses for professional contributions and those for the health and wellness program.
  • Support payroll administration.
  • Manage departmental billing and perform simple translations.
  • Manage the Talent and Culture email inbox and respond to questions regarding HR policies and procedures and/or direct questions to appropriate team members as needed.
  • Ensure the updating of the Talent and Culture Intranet page, update documents and information, and propose improvements.
  • Collaborate on the preparation of announcements and the publication of information on the intranet.
  • Contribute to process automation and continuous improvement.
  • Collaborate with teams from different departments to implement improvements.
  • Participate in the organization of engagement and recognition activities.
