As a Talent Acquisition and HR Coordinator, you will play a key role in delivering an exceptional candidate and employee experience. This hybrid role combines recruitment coordination and HR operational support, coordinating interview scheduling, supporting onboarding and offboarding processes, maintaining HR documentation and employee records, and ensuring recruitment and HR activities are executed with accuracy and efficiency. Working closely with the recruiting team, HR, and business stakeholders, you will coordinate hiring activities and support daily HR operations. Your attention to detail, organization, and proactive approach will contribute to a positive experience for both candidates and employees. Please note: the expected contract duration is 12 to 18 months.

Requirements

  • 2-4 years of experience in talent acquisition coordination, HR operations, or a related HR function.
  • Excellent organizational and multitasking skills in a fast-paced environment.
  • Excellent communication and interpersonal skills, with a candidate- and employee-first approach.
  • Experience with HRIS and ATS platforms such as Workday and Greenhouse.
  • Keen attention to detail and a commitment to data accuracy and confidentiality.
  • Strong problem-solving abilities and the capacity to work independently while collaborating effectively with teams.
  • Experience supporting onboarding and employee lifecycle processes.
  • Proficiency in Microsoft Excel and knowledge of basic reporting tools.

Responsibilities

  • Coordinate and schedule interviews for multiple teams, departments, and locations, ensuring a seamless experience for candidates and interviewers.
  • Serve as the primary point of contact for candidates, recruiters, hiring managers, and external vendors throughout the interview process.
  • Manage the logistics of virtual and on-site interviews, including technical assessments, coding interviews, and project-based evaluations.
  • Monitor interview schedules and proactively resolve scheduling conflicts or last-minute changes.
  • Guide candidates through the interview process, ensuring timely communication and a positive experience.
  • Coordinate candidate travel and collaborate with internal travel teams as needed.
  • Assist candidates with the expense reimbursement process and guide them on required documentation.
  • Maintain accurate candidate and job requisition data in Greenhouse and Workday.
  • Support recruitment events, including Super Days, hiring initiatives, and other talent acquisition programs.
  • Contribute to special projects, process improvements, recruitment operations, and reporting initiatives.
  • Collaborate with cross-functional teams, including HR Operations, Compliance, Technology (IT), and Workplace Services, to coordinate onboarding logistics as needed.
  • Coordinate schedules and invitations for weekly orientation sessions.
  • Facilitate new hire orientation sessions, presenting company culture, policies, programs, and benefits.
  • Act as a trusted resource for new hires, assisting them in navigating their transition to DRW and ensuring a positive onboarding experience.
  • Serve as the first point of contact for employee inquiries related to HR administration in Canada (e.g., benefits, employee data updates, documentation), directing them to the appropriate HR Center of Excellence as needed.
  • Support daily HR transactions as needed.
  • Assist with employee offboarding processes, including coordinating system access and logistics.
  • Contribute to ad-hoc reporting requirements as needed.
