The Dispatcher is responsible for coordinating and monitoring the movement of trucks, drivers, and goods to ensure efficient, safe, and punctual transportation services. This includes route planning, real-time communication, resolving logistical issues, preparing records, and supporting overall fleet efficiency.   • Ability to read and comprehend checklists, forms, shipment documents, and related operational paperwork.
  • Knowledge of local geographic market (minimum requirement).
  • Strong communication skills with the ability to interact professionally with drivers, customers, and internal teams.
  • Excellent multitasking ability and comfort managing high call volume in a fast-paced dispatch environment.
  • Solid problem-solving and decision-making skills, including quick judgment during operational exceptions.
  • Computer proficiency, including Microsoft Office, dispatch systems, web-based tools, and mapping applications.
  • Accurate typing and data-entry skills with strong attention to detail.
  • Basic math proficiency (addition, subtraction, multiplication, division).

  • Proficiency with dispatch systems, TMS platforms, and basic computer applications.
  • Ability to work calmly and efficiently in a high-volume, time-sensitive environment.

Responsibilities

  • Assign drivers, vehicles, and equipment to deliveries and pickups.
  • Plan and assign daily routes to ensure efficient and timely pickups and deliveries.
  • Create daily, weekly, and urgent delivery schedules.
  • Coordinate load planning, shipment consolidation, and freight scheduling.
  • Optimize routes and loads to reduce transit times, fuel consumption, delays, and transportation costs.
  • Verify driver availability, equipment readiness, required documentation, and compliance requirements for daily operations.
  • Communicate delivery tasks, schedules, and instructions to drivers and internal teams.
  • Monitor shipment progress, driver locations, delivery status, and estimated arrival times using GPS, dispatch, and Transportation Management Systems (TMS).
  • Provide drivers with route updates, operational instructions, and real-time support.
  • Identify and resolve transportation issues, including traffic delays, weather disruptions, equipment breakdowns, and capacity constraints.
  • Adjust routes and schedules to accommodate urgent shipments, service interruptions, and other unforeseen events.
  • Implement contingency plans in case of emergencies to minimize operational disruptions.
  • Serve as the primary point of contact for transportation-related inquiries.
  • Provide shipment and delivery status updates to customers and internal stakeholders.
  • Maintain communication with customers regarding service issues, shipment concerns, and delivery changes.
  • Manage customer complaints and escalate issues as needed.
  • Coordinate with warehouses, carriers, brokers, and customers to ensure uninterrupted service.
  • Ensure drivers comply with transportation regulations, hours of service, safety standards, and company policies.
  • Monitor driver qualifications and maintain compliance documentation.
  • Support transportation safety initiatives and regulatory compliance.
  • Maintain required records for audits, inspections, and compliance reviews.
  • Prepare and process shipping documents, bills of lading, manifests, delivery records, and proof of delivery (POD) documents.
  • Maintain dispatch logs, transportation records, and accurate data entry in transportation, warehouse, and customer systems.
  • Update internal systems and customer portals with shipment information.
  • Prepare operational reports and maintain accurate transportation records.
  • Verify trip details, mileage, fuel consumption, accessory charges, and broker invoices; process settlements and resolve discrepancies.
  • Monitor vehicle availability, utilization, and performance.
  • Maintain vehicle activity records, including mileage, fuel consumption, and repair history.
  • Schedule preventive maintenance and coordinate repairs.
  • Arrange for replacement equipment or vehicles when resources are unavailable.
  • Report vehicle and equipment performance issues to appropriate stakeholders.
  • Develop and maintain excellent customer service for internal and external customers.
  • Perform daily load planning to ensure freight is staged, loaded, and sequenced correctly for morning departures.
  • Complete next-day dispatch planning, including route mapping, stop sequencing, driver allocation, and freight readiness checks.
  • Organize and dispatch pickups and deliveries based on customer requests, deadlines, shipment priorities, and route efficiency.
  • Communicate load details—including weight, dimensions, and any special handling requirements—to drivers with clear instructions.
  • Maintain continuous communication with drivers to provide updates, relay changes, resolve issues, and ensure safety and compliance.
  • Monitor driver progress using GPS and tracking tools, making real-time adjustments for delays, traffic issues, cancellations, or equipment problems.
  • Prioritize time-sensitive, rush, and same-day shipments to ensure service-level expectations are met.
  • Coordinate with warehouse/dock teams to confirm freight readiness, loading requirements, and staging priorities.
  • Work closely with Customer Service to support accurate scheduling, appointment requests, and customer-specific needs.
  • Support issue resolution when delivery delays or customer challenges arise by re-routing drivers or reassigning deliveries when required.
  • Ensure all dispatch activities comply with Provincial and Federal regulations and company policies.
  • Maintain shipment information under Customs control documents and ensure timely submission of required paperwork to Import personnel.
  • Enter, update, and verify shipment and dispatch data in the Transportation Management System (TMS) and related databases.
  • Ensure accuracy of shipment documentation including bills of lading (BOLs), delivery notes, and proof-of-delivery records.
  • Assist with verification of shipment labeling, freight condition, and cargo counts as needed.
  • Maintain accurate records of routes, loads, driver assignments, and delivery outcomes.
  • Model and uphold the organization’s guiding principles and core values in all communication and decision-making.
  • Perform other related duties as assigned.
