The Housing and Residential Education (HRE) team at the University of Denver is committed to providing housing and support services for over 3,000 on-campus students. Under the supervision of the Housing Program Manager, the Residential Services Coordinator(s) (RSCs) will have primary oversight of all Front Desk Operations. This includes co-supervision of 70-90 Desk Attendants (DAs), Key Management, Mail Operations, and Resident & Staff Support. During Winter and Summer breaks, RSCs will serve as primary desk staff during the consolidated operations and assist the occupancy and operations team with project delivery. In addition to Front Desk Operations, this position performs a variety of important administrative and operational functions in support of the residential operations area including, but not limited to, Move-in/Move-Out planning, Summer Project Support, and Central Office administration, including but not limited to, responding to telephone, email and in-person inquiries. This is a 12-month, hourly position.

Requirements

  • Associate's degree or High School Diploma with 2 – 4 years of experience.
  • One (1) year of administrative and/or customer service experience, preferably in a Housing, Hospitality or Higher Education Environment.
  • Ability to become familiar with housing software systems, such as, StarRez and Microsoft Office suite.
  • Attention to detail, with a highly organized approach to data/project management.
  • Understanding regarding university housing, and front desk operations, or program management.
  • Ability to analyze and interpret data, processes, and needs based on limited information; research and communicate solutions.
  • Strong written and verbal communication skills.
  • Excellent collaboration and interpersonal skills along with the ability to work with a diverse population of administrators, faculty, staff, students and external constituents.

Nice To Haves

  • Associate's degree in Business Administration, Operations Management, Office Management, Communications or a related field.
  • Bachelor’s Degree in Business Administration, Project Management, Communications or a related field.
  • One, or more, years of post-Bachelor's work experience within preferably in a Housing, Hospitality or Higher Education Environment.
  • Prior supervision experience.

Responsibilities

  • Co-Supervise 70-90 Desk Assistants (DA) staff in collaboration with the Housing Program Manager.
  • Maintain front desk staff schedule and provide coverage for staff absences.
  • Foster relationships with individual residents and staff by remaining accessible and approachable.
  • Oversee mail room operations and inventory.
  • Assist in submitting the custodial and maintenance work orders and reporting urgent issues as needed.
  • Support the Hiring and Training of Desk Assistants in collaboration with the Housing Program Manager.
  • Manage, track, and inventory building keys and access cards.
  • Support the Hiring and Training of Desk Assistants in collaboration with the Housing Program Manager.
  • Attend regularly scheduled one-on-one meetings.
  • Create a supportive environment that promotes the professional and personal development of each staff member.
  • Develop understanding of StarRez system for mail operations and occupancy needs.
  • Participate and/or lead cross training efforts on the various aspects of the StarRez system.
  • Develop strong understanding of Microsoft Teams, Maxient and Work Order System.
  • Support move-in operations and planning including the development of move-in key packets, facilitating early arrival program, and building specific opening preparations.
  • Support break-period transitions and move-out operations and Conference & Event Services transition.
  • Serve as primary staff for consolidated Front Desk Operations.
  • Take lead and/or support break projects.
  • Provides administrative support for the department, which includes but is not limited to, responding to telephone, email and in-person inquiries, scheduling appointments, meetings, and room reservations, resolving a variety of issues and complaints, maintaining a high level of communication with other departments, colleagues or external sources, while providing a high level of customer service.
  • Assists with departmental projects predominantly within Residential Operations team.
  • Establishes priorities to ensure that all projects and assignments are completed timely with minimal supervision.
  • Attend and participate in HRE, Divisional, and University meetings and task forces.
  • Attend regularly scheduled one on one supervisory meetings with Supervisor.
  • Develop working relationships with key campus partners, including but not limited to: Facilities, Department of Campus Safety, Student Rights and Responsibilities, Student Outreach and Support, Conference & Events Services, Vice Chancellor and Dean of Students Office, and Campus Vendors.
  • Attend events and programs sponsored by HRE and/or the Division of SAIE, including those that periodically occur on weekends and evenings.
