About The Position

Responsible for providing administrative support to the Office of Human Resources (OHR). This position reports to the Vice President of human resources and organizational development. The role involves coordinating administrative support to the Vice President, managing office and clerical operations, assisting various HR departments, facilitating interdepartmental communications, preparing and processing confidential documents, attending and recording minutes at meetings, performing budget preparation, coordinating surveys and special projects, coordinating student employment, and promoting equity and belonging. The position also requires maintaining professional knowledge and seeking opportunities for professional development.

Requirements

Responsibilities

  • Coordinates administrative support to the Vice President, including managing the executive's schedule, scheduling meetings, overseeing arrangements and expenses, disseminating communications, and traveling to different HACC locations as needed.
  • Manages office, clerical, and reception operations, handles customer inquiries, processes address changes and maintenance for employees and student workers, serves as contact for employment verifications, maintains employee bulletin boards, manages the "Ask HR" resource account, and prepares notices of emeriti status.
  • Assists Vice Presidents, HR leaders, and departments (Employee Relations, Organizational Development, Talent Acquisition, Benefits, HRIS, and general human resources) by cross-training, performing assigned tasks, researching, analyzing, recommending solutions, providing administrative support, and leading/assisting in special projects.
  • Facilitates interdepartmental communications, maintains an understanding of departmental goals, assists in monitoring the strategic plan, processes, procedures, and policies, and assists with the development, writing, and updating of policies, procedures, methods, and guidelines.
  • Prepares and processes confidential documents, oversees records and confidential files related to finance, accounting, payroll, or personnel issues, tracks confidential employee documentation, and develops and prepares documents and forms for maintenance and purchase requests.
  • Attends and records minutes at meetings of the Board of Trustees Human Resources Committee, College Compensation Advisory Committee (CCAC), and other committees and task forces as assigned.
  • Performs budget preparation, including reviewing expenditures, estimating financial needs, monitoring spending, reallocating funds, monitoring budgets with directors, coordinating purchases, paying invoices, maintaining accurate records, and assisting in budget preparations.
  • Coordinates development and completion of surveys, data collection, special projects, and serves to preserve records and manage digital content.
  • Responsible for coordinating student employment in collaboration with student affairs and payroll, including recruiting, developing, and managing student employees in the division.
  • Assists all OHROD departments as needed, including performing benefits reconciliation, auditing data in various systems, assisting with onboarding new OHR employees, and processing electronic personnel action forms (EPAFs) for student workers.
  • Promotes, supports, and develops equity and belonging in all OHROD efforts to create a welcoming and inclusive workplace culture.
  • Maintains professional knowledge base and seeks opportunities to enhance skills and abilities through professional development, seeks new areas of responsibility, performs new tasks, and recommends process improvements.
  • Performs other duties as assigned.
