About The Position

Based in Dorval, the Contracts Administrator provides administrative, coordination, and document-management support to the legal function across AMER, EMEA, and GAPAC. This role coordinates the contract lifecycle from intake through final filing, maintains reliable and accessible records, conducts focused research and monitoring, and supports invoice and external counsel administration.

Requirements

  • College diploma, university degree, legal-administration or paralegal training, or equivalent experience.
  • At least 4 years of experience in contract administration, legal administration, corporate administration, or a similar business-support role.
  • Strong document-management, file-organization, and follow-up skills.
  • Ability to read contracts and identify key administrative information.
  • Strong written communication skills and the ability to prepare clear summaries and short memos.
  • Comfort reviewing articles, business updates, and public information, including sources from outside Canada and the United States.
  • Proficiency with Microsoft 365 and document-management systems.
  • Highly organized and detail-oriented, with the ability to manage multiple requests across regions and time zones.
  • Strong follow-up and task-management skills, with a practical, responsive, service-oriented approach.
  • Ability to work independently, exercise good judgment, and recognize when to escalate.
  • Comfort supporting stakeholders across different regions and cultures.
  • A process-minded approach and the ability to identify opportunities for improvement.
  • Trustworthiness, discretion, and professionalism when handling confidential information.
  • The ability to read and understand English is required because the large majority of contracts and a significant portion of communication with international teams are in English.

Nice To Haves

  • Experience with contract lifecycle management tools or legal intake systems is an asset.
  • Bilingual English/French is preferred.

Responsibilities

  • Manage the administrative contract lifecycle from intake through filing, including renewal tracking, template distribution, and related follow-up.
  • Triage review requests to identify urgency, business owner, region, contract type, counterparty, and required supporting information.
  • Conduct an initial administrative review to identify critical dates, payment terms, legal recourse, insurance needs, required approvals, and incomplete information.
  • Track contract status and follow up with internal stakeholders to keep matters moving.
  • Maintain contract trackers and reminder systems, and coordinate signature routing, version control, and final document filing.
  • Ensure fully executed versions are saved in the appropriate repositories and that contract records remain complete, accessible, and current.
  • Maintain electronic files, templates, and related legal materials using consistent naming conventions, folder structures, and retention practices.
  • Help legal teams locate historical agreements and correspondence, and support document clean-up and archive-management projects.
  • Support the creation and maintenance of contract summaries, playbooks, checklists, and internal guidance.
  • Conduct basic research and monitor business, legal, regulatory, and industry developments using a range of reliable sources, then prepare concise internal summaries.
  • Monitor relevant current events, maintain a simple log of recurring topics, updates, and sources reviewed, and escalate potentially important developments to the legal team.
  • Prepare clear research summaries for specific projects and general reviews.
  • Support invoice tracking and review for administrative completeness, vendor creation, and required approvals, and coordinate issue resolution with Finance.
  • Maintain external counsel contact and subject-matter lists, engagement letters, billing guidelines, and related records.
